Summary
Candidates must be able to handle a variety of office support tasks, multitask, and work diligently under pressure. Good judgment, excellent management skills, time management skills, written and verbal communication skills, and the ability to be punctual are required. The candidate must demonstrate conscientiousness, promptness, and responsibility. This person must be comfortable working with a high degree of attention to detail and discretion, as well as, incorporating new and effective ways to achieve better results. The successful candidate will perform a full range of office support activities, including: computer skills; MS Office applications, maintaining office supply inventory, answering phones, scheduling, oversight of maintenance and supplies for office equipment and facility, travel planning, and other daily general office routines.
Candidate should possess a positive attitude as required in this fast-paced, detail-oriented environment with many deliverables and deadlines. Must be a team player and work well with others. This is a support position with constant interaction with fellow workers.
Detailed Description
Performs tasks such as, but not limited to, the following:
Optimize procedures by organizing the office and providing assistance to employees
Schedule and plan meetings and appointments
Monitor level of supplies and handle shortages
Ensure CSV office requests and concerns are addressed in a timely manner
Coordinate with others to ensure compliance with established policies
Build and maintain trusting relationships with suppliers, customers, colleagues, and facilities/property management
Perform receptionist duties for Customer Experience Center (CEC) when needed
Greet clients and visitors as needed
Help organize and maintain office common areas
Perform general office clerk duties and errands
Provide administrative support for VP of Hardware Solutions by organizing travel, booking accommodation, managing calendar, etc.
Submit and reconcile expense reports
Coordinate events as necessary
Maintain supply inventory
Maintain office equipment as needed
Knowledge/Skills/Competencies
Experienced executive support
Thorough understanding of office management procedures
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving, multi-tasking and prioritization
Warm personality with strong written and verbal communication skills
Physical Demands
Duties of this position are generally performed in good working conditions.
Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.

Bachelor's degree in related field, or consideration of an equivalent combination of education and experience.
