Job Description:

Join the dynamic team at the State of Nebraska's Department of Health and Human Services, Division of Public Health as a full-time Office Specialist. We are seeking individuals who are organized, possess outstanding customer service skills, and are dedicated to supporting our team in providing excellent service.

This position provides support and customer service to various programs within the Professions and Occupations Licensure Unit as well as licensees. Key job functions include processing incoming and outgoing mail, answering phones, answering technical questions from licensees to assist them with renewing their professional license, creating monthly reports in Access, processing new professional board members, maintaining statistical information for performance improvement projects and other tasks that support the Licensure Unit.

We are seeking a dedicated and detail-oriented individual to join our team as an Office Specialist in our Licensure Unit. The primary responsibilities of this role include processing mail, answering inquiries via phone, and providing exceptional customer service to licensees and other stakeholders.

Job Duties:

  • Process incoming mail promptly at designated times (8:00 am, 11:00 am,

and 3:00 pm), ensuring accuracy and efficiency.

  • Handle an average of 177 pieces of mail daily, primarily consisting of

license renewal applications from various program areas.

  • Timely processing of mail is critical to avoid delays in issuing professional

licenses, thereby ensuring a sufficient number of licensed professionals

available to serve the community.

  • Respond to incoming calls from licensees, program staff, and other

individuals seeking licensing services.

  • Triage incoming calls, provide accurate information, and redirect calls to

appropriate programs for further assistance.

  • Handle a high volume of incoming calls, ranging from 25 to 50 calls per

hour during peak renewal periods.

This position is often the first point of contact with licensee's and other members of the public providing comprehensive support and assistance to members of the public. This comprehensive support plays a vital role in supporting the Public Health mission.

Qualifications / Requirements

MINIMUM QUALIFICATIONS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.

OR

Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

PREFERRED: Basic knowledge of Microsoft Outlook, Microsoft Word, and Excel. Familiarity with Public Health or health professions and occupations. Experience Licensing Information System, (LIS) a plus but not required.

Knowledge, skills and abilities

Knowledge of: the practices, procedures, and equipment used in secretarial/clerical support operations; record keeping practices and database management; administrative reporting formats; customer service processes and principles; the program-administrative policies and guidelines; specialized processes and terminology associated with assigned work; grammar, punctuation, spelling, and composition for general business and specialized purposes; word and data processing software.

Ability to: communicate in person and by telephone, email, and correspondence to exchange information and ideas; interact effectively with persons of diverse backgrounds; summarize technical data and results of research and tracking activities into reports; prepare, proofread, and correct errors in information, documents, reports; understand and apply instructions and program-administrative policies and directives; implement decisions made and take actions selected by others to achieve work objectives, performance goals, and priorities; learn the organizational structure, mission, and activities of the employing agency; learn agency policies and procedures pertinent to the work assigned; maintain confidentiality; maintain accurate records and documentation.
