The Long-Term Services & Support (LTSS) area of Health & Human Services is seeking a Principal Office Specialist to join their team. We are looking for individuals who enjoy working with the public, have strong communication skills, and a desire to help others while serving the community. Interested candidates will need to be flexible and able to handle a high-level of demanding situations, while providing excellent service to employees, external partners, and Hennepin County residents.

Location and hours:

This position is remote. Remote workers may be required to come on-site 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Based on business needs of this position, hires must live in or relocate to Minnesota.

This is a full-time, benefit earning position. You must be a current regular or probationary employee of Hennepin County to apply for this mobility assignment. Note: Limited duration employees are not eligible.

In this position, you will:

  • Assist in the development, implementation, and review of new procedures and workflow for the LTSS service area.

  • Be responsible for the training of Office Specialist staff and professional staff on new procedures.

  • Function as lead on various systems to support the team by answering questions and assist with problem solving.

  • Manage incoming work requests so all projects/assignments are up to date and accessible.

  • Schedule and assist with coordination of agendas, meeting materials, and taking minutes during meetings.

  • Input, modify, and export data in state and county systems.

  • Review work for accuracy and conformance with procedures, as well as develop or revise work unit procedures and policies.

  • Review work for accuracy; recommend and implement improvements of procedures.

  • Manage and respond to a broad range of requests for information and assistance from service area customers, vendors, and the public.

Need to have:

One of the following:

  • Three or more years of office clerical experience.
  • 30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
  • A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month).

Nice to have:

  • Experience:

  • Using Microsoft Office applications including Excel, PowerPoint, SharePoint, Teams, Visio and/or Word.

  • Using databases and performing data entry where accuracy is essential.

  • Working with a team in a lead capacity with emphasis on training and directing the work of others.

  • Reviewing and editing process documents.

  • Working with computers including knowledge of word processing.

  • Working in Long Term Service and Support Service Area.

  • Working with SSIS, MMIS, ECF, CARL, and MnCHOICES.

Ability to:

  • Deal with business partners and staff members with tact and discretion.

  • Handle multiple problems and assignments simultaneously, and to work independently with minimal direction.

  • Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.

  • Read, understand, and relay a variety of correspondence, policies, and procedures.

  • Recognize and respect cultural differences and provide culturally appropriate services.

  • Handle multiple complex and simultaneous tasks by setting priorities to meet deadlines.

  • Code and classify information according to guidelines.

  • Take initiative in solving problems and use sound judgment when approaching problems; read and follow complex instructions.

  • Communicate effectively both verbally and in writing.
