To provide a variety of office support or secretarial functions which require an in-depth knowledge of assigned program areas; perform related work.The Idaho Commission for Libraries (ICfL) is recruiting for a full-time Office Specialist 2/Receptionist to join our Boise team!

Responsibilities May Include:

  • Multi-line telephone answering, answering routine questions

  • Receiving visitors to the agency

  • Distribution of First-Class mail to employees of the agency

  • Data entry and operation of word processing and spreadsheet software, including producing merged documents, labels, tables, and forms

  • Sorting, coding and filing

  • Work independently and with little or no direct supervision for recurring tasks

  • Verify documents for completeness, accuracy, and compliance

  • Coordinate logistics and arrangements for meetings and trainings, including travel arrangements for staff and other participants

  • Act as meeting facilitator, recorder, or leader as requested

  • Arrange for and purchase goods and services for projects/programs; maintain service and supplies; recommend purchase needs of specified equipment

  • Gather business, project, and program information necessary to implement and/or maintain special projects

  • Maintain a high ongoing level of software expertise

  • Provide support to all ICfL programs

  • Act as first-person contact for callers and walk-in customers

  • Cross train with other staff to learn new procedures

  • Perform backup duties as assigned

  • Attend and utilize training in subject matter relevant to ICfL

  • Participate as a team member on ICfL teams/committees

Good knowledge of: rules of effective business English usage, spelling, punctuation, and grammar.Experience: using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving; reviewing documents for compliance with established procedures; using a computer to enter and retrieve information; answering a business telephone using knowledge of business telephone procedures and etiquette.

The Idaho State Department of Agriculture is currently recruiting for an Office Specialist 2 in the Division of Agriculture Resources Responsibilities: * Responsible for processing mailed documents, filing, maintenance of applicator records, license processing, and test grading and information storage; * Proctor and/or assist with pesticide examinations; * Review and process paperwork from exam sessions; * Review and enter exam test scores and create new customers in the licensing and insurance databases; * Assist with other data entry needs and responding to requests for information and forms; * Maintain pesticide licensing files; * Provide office support to training and pesticide registration program staff as assigned by the Certification, Training and Licensing Program Manager; * Answer phone calls from licensing customers and provide information regarding licensing policies, services and procedures; * Assist with administrative duties for the division, as directed by supervisor; * Review, evaluate, approve, and process records and/or documents. Specialty Areas: These qualifications are mandatory requirements for this position. * Microsoft Word Processing Software. Experience creating mass mailings using mail merge functions and creating documents using columns and tables to display text and data using Microsoft Word or an equivalent word processing software. * Microsoft Excel. Experience using spreadsheet software such as Microsoft Excel to create and modify electronic worksheets and design and print graphs and complex data analysis using tools such as Pivot tables. * Experience using basic math skills to add, subtract, multiply or divide whole numbers. This is typically met by successful completion of a high school or equivalent math class OR six months of experience on a job using these skills. * Ability to keyboard/type at the rate of 40 net wpm or more. * Experience operating a 10-key by touch.
