Responsibilities May Include:
Multi-line telephone answering, answering routine questions
Receiving visitors to the agency
Distribution of First-Class mail to employees of the agency
Data entry and operation of word processing and spreadsheet software, including producing merged documents, labels, tables, and forms
Sorting, coding and filing
Work independently and with little or no direct supervision for recurring tasks
Verify documents for completeness, accuracy, and compliance
Coordinate logistics and arrangements for meetings and trainings, including travel arrangements for staff and other participants
Act as meeting facilitator, recorder, or leader as requested
Arrange for and purchase goods and services for projects/programs; maintain service and supplies; recommend purchase needs of specified equipment
Gather business, project, and program information necessary to implement and/or maintain special projects
Maintain a high ongoing level of software expertise
Provide support to all ICfL programs
Act as first-person contact for callers and walk-in customers
Cross train with other staff to learn new procedures
Perform backup duties as assigned
Attend and utilize training in subject matter relevant to ICfL
Participate as a team member on ICfL teams/committees
Good knowledge of: rules of effective business English usage, spelling, punctuation, and grammar.Experience: using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving; reviewing documents for compliance with established procedures; using a computer to enter and retrieve information; answering a business telephone using knowledge of business telephone procedures and etiquette.
