Position Overview:

The Office Services Manager develops procedures and policies for the delivery of office services that align and create synergies between Protolabs locations. She/he will lead a team of Office Administrators and collaborate with site location leadership to provide efficient and value added services by collaborating with HR, IT, purchasing, and facilities to meet the needs of the organization. This position will evaluate and recommend changes or additions to service offerings and equipment to manage costs and achieve efficiencies. This position will manage suppliers to ensure the best options for pricing products or services, as well as direct and develop the staff to deliver programs and services that meet business requirements.

Specific Duties Include:

  • Work with site leaders to develop and provide value add services, standards, programs and policies among the office environments

  • Collaborate with HR on policy development and implementation of Culture, Diversity programs

  • Develop service provider's requirements, preparing scope, RFPs, selecting vendors, monitoring KPI execution, and periodically re-evaluating service contracts.

  • Manage Office Service providers and department vendors to ensure excellent coordination/execution of work with minimal disruption.

  • Centralize and collaborate with IT regarding printing services, equipment, and supplies/toner

  • Develop and maintain the Facilities Reference and Emergency Responses Handbook for communicating to employees and provide training to all new hires

  • Develop and maintain 'Event Management/Response Handbook'

  • Administer security programs; card access database, brass keys, security cameras, issue ID's

  • Communicate company-wide facility information impacting employees.

  • Prepare annual operating expense budgets, re-forecasting budgets, capital expense plans.

  • Provide standard service levels of support for Administrators at their respective locations

  • Staff Development for Administrators

  • Provide central planning for company events (Customer/Investor Tours, Company Meetings)

Minimum Qualifications:

  • 5+ years relevant experience

  • Experience in finance and contract administration

  • Proficient with Microsoft Office products

  • Able to occasionally modify work schedule to work after hours to accomplish various tasks

Education Requirements:

  • Four year degree in Business, Communications, Office Administration or similar

Authorizes staff payroll. * Works on the last day and first day of each month until responsibilities completed. * Leases apartments; implements and maintains effective advertising and marketing plan. * Obtains bids and supervises capital or contract service. * Meets all corporate designated deadlines. * Implements staff, program and/or site improvements contained in budget and OPM. * Implements procedures as outlined in the Red Book. (Emergency procedures manual) Supervises and purchases janitorial, maintenance and office supplies.
