You'll work in our Washington DC office as part of the Office Services department. Our team focuses on providing support as the office front desk, room bookings, event planning, mail and duplication, and facilities.

This position requires a 100% in-office presence.

You will provide responsive, high-quality assistance with a variety of office services tasks with direct responsibility for front desk supporting the conference center, event planning, room booking, supplies and facilities.

This requires working closely with the Office Services Team managing the front desk, ordering catering for client meetings, managing our conference center rooms, handling incoming calls, greeting & checking in visitors, booking client rooms, assisting with team/partner offices bookings, and appropriately directing incoming ad-hoc requests to other colleagues as necessary.

Your major responsibilities will include maintaining the client conference room schedule through our Converge room booking system - and coordinating catering/AV equipment set up needs; handling catering services for office (e.g., office/client meetings, office functions); and cultivate vendor relationships, and reconcile billing for catering vendors. This includes setting up AV for client and internal meeting using our in-house AV system.

You'll have the opportunity to work closely with the office services team on back-up support including: providing responsive, high quality duplicating services as necessary for both small and large client & internal meetings; assisting with mail/UPS deliveries; conducting office sweeps and assist with conference room set up/breakdown; seamless backup support for all other Office Services positions as necessary; and work with the team on multiple aspects of facilities including operating equipment and assisting with office moves.

You may also partake in special projects or need to run miscellaneous errands as assigned by manager.

  • High School diploma required, university degree preferred

  • 2+ years in a administration, office services, event planning or other relevant field preferred

  • Ability to perform multiple tasks effectively with minimal supervision

  • Ability to learn and set up in-house AV meetings including Zoom meetings for clients and internal colleagues

  • Strong oral and written communication skills

  • Willingness to take initiative and rapidly problem solve issues as they arise

  • Possess high quality standards, a commitment to completing the task within the deadline, and the ability to work under pressure

  • Ability to move equipment and furniture for room/event set-ups

  • Technical knowledge of office machines and equipment
