Summary:

Responsible for supporting the principal through document composition and editing. Monitor budget, expenditures and student activity funds as well as maintain records and databases. Serve as the resource person and liaison between the administrators, faculty, staff, parents and the public.

Responsibilities:

  • Answer phones, respond to emails; process and distribute mail; relieve receptionist and health room attendant as needed; submit maintenance requests; maintain office equipment; maintain building calendars; alarm codes, fobs, and key inventory and distribution.

  • Assist principal in troubleshooting, composing and editing documents, reports, handbooks, and newsletters, maintaining calendar, managing and coordinating schedules, meetings, and events, placing phone calls, record and transcribe meeting notes, process teacher evaluations, assist in coordinating school events, serve as resource person and building liaison with the public, maintain central filing system and database, maintain donation record and create donation report.

  • Compile, compose, edit and distribute daily announcements.

  • Assist principal in building the budget; reconcile monthly transaction sheets; prepare expenditure corrections, reports and deposit summaries; advise principal and assistant principal of account balances and issues; extra duty contracts.

  • Manage and maintain activities accounts, reconcile bank statements; reconcile and make deposits; process checks; accounts receivable; manage individual accounts; maintain records and reports for sales tax; process credit card charges; advise principal of balances and issues. Act as building liaison for Pro Card, reconcile monthly statements for all building cardholders, maintain records, and transfer expenditures to proper accounts.

  • Maintain staff timesheets, professional leave forms and payroll records; prepare weekly payroll documents; resolve issues and submit payroll corrections; monitor subsystem; liaison for sub office; submit event timesheets and contract for services.

  • Maintain records, reimburse staff for expenditures, reconcile records and prepare reports for petty cash account.

  • Order supplies, textbooks and materials for building, contact companies or individuals by phone for quotes and to resolve issues.

  • Monitor database for accuracy, create job requisitions and recs for hire, prepare PS-12's, maintain staff files, process resignation letters, schedule interviews, new staff orientation.

  • Compose articles, create layout, edit content, and upload newsletter to website, update information and calendars, upload new documents, create new pages on the website.

  • Compose and edit copy for packets for registration, organize, collate and mail packets, collect registration fees, reconcile receipts, registration spreadsheet and make deposits.

  • Building Security, monitor main entrance, greet authorized personnel and/or visitors following district policies and procedures. Oversee use and security of the building year round. Manage security codes, key and fob check in/check out, and issues. Assist in the development, training and implementation of crisis plans, safety procedures including scheduling fire drills, emergency evacuations and building lockdowns. May support crisis procedures with the assistance of the district personnel in the absence of the school administrator. Oversee the volunteer background check process. Support the maintenance of the building, input work order requests, track progress and resolution, as well as submit insurance claims for damaged property.

  • Perform other duties as assigned.

Qualifications:

Required:

  • High School Diploma or equivalent

  • Communicate (read, write, and speak) in English

  • Completed and submitted BVSD online application

Preferred:

  • Minimum of three years experience in general office work

  • Knowledge of district policies and procedures

  • Knowledge of office practices as well as functioning as an office manager

  • Ability to make decisions in accordance with rules, regulations, policies, and procedures

  • Intermediate to advanced computer knowledge and experience, including Microsoft Word, Excel and Google

  • Strong interpersonal skills and ability to function under pressure in a pleasant and personable manner

  • Ability to manage multiple priorities and tasks with frequent interruptions

  • Positive communication, interaction and work experience with diverse individuals

The Dean will help inform the creation of new fundraising and alumni engagement programs and have significant involvement in the identification, cultivation, solicitation, and stewardship of individual and institutional donors, including major foundations and law firms.
