This position is responsible for ensuring that KCF has the management of facility space and addresses the goals needed to support our growth in footprint and geography. A service-oriented coordinator of people and physical resources is whats needed for success in this role.
Execute on all operational aspects of the office, including but not limited to real estate projects, kitchen, maintenance, front-of-house, shipping, space planning, etc. for all KCF office locations in the US. This currently includes several offices in State College, PA; one in Fort Worth, TX; and one in Detroit, MI.
Identify and work with commercial real estate agents and external consultants as needed to assess opportunities for additional office spaces to support growth in employee headcount.
Liaise with property managers and subcontractors to ensure timely completion of building and space issues.
Work with team leaders to develop a strategic plan for which staff should be in which locations (and what new spaces may be needed) and facilitate the execution of that plan under the direction of the Senior Vice President of Operations.
Coordinate moving efforts in new and existing facilities.
Ensure that all staff have an adequate workspace / order and set up work stations.
Create and implement a process for streamlined ordering of supplies and refreshments for all locations
Coordinate facility cleaning/maintenance at all locations.
Establish and improve vendor relations (food, janitorial, office supplies, etc.), with a bias towards automation.
Ensure all work locations promote and display KCF values and culture.
Review and manage lease documents for all properties.
Identify inefficiencies and create processes and solutions built to scale.
Hire and manage additional support including but not limited to receptionists and administrative assistants.
Serve as the liaison between KCF and the fleet vehicle solution provider and manage KCFs fleet vehicle program.
Other duties as assigned.
Knowledge, Skills and Abilities
Associates degree in administrative positions, Bachelors Degree in business preferred
1-3 years of project coordination, office management, property management experience preferred
Experience coordinating and leading cross-functional teams
Experience supervising staff
Experience reviewing lease agreements and other contracts
Attention to detail and ability to manage multiple activities at one time
Proficient knowledge and use of Microsoft Office
Exceptional communication, interpersonal, organization, negotiation, and problem-solving skills
Ability to aggressively execute against several competing task and projects
Focus on effective teamwork with the capability to thrive in an autonomous environment
Ability to be on-call in case of emergencies
Ability to work 40 hours per week, periodically during non-core hours to meet other office location needs
Valid Driver's license and ability to pass Criminal Background check
Ability and enthusiasm to travel to other KCF offices as needed, up to 25% of the time
Additional Physical/Mental Requirements/Work Environment & Conditions:
Work primarily in an office environment with periodic visits to other locations in PA as well as other states as needed
Ability to walk, stand, and sit for long periods of time.
Ability to lift and carry up to 30 pounds in weight.
Ability to speak concisely and effectively communicate verbally and in writing.
Ability to stand or sit while maintaining alertness for several hours at a time.
