Job Description Job Description The Maryland MBDA Business Center is a grant funded program owned and operated by L. S. Caldwell & Associates, Inc. (LSC), a full-service Contracting and Employment and Community Awareness Participation Compliance firm in Washington, DC.
We are seeking a full-time Project Administrator to provide administrative and business development support to the Maryland MBDA Business Center (MBC) and to other projects managed by L. S. Caldwell & Associates, Inc. (LSC). It is anticipated that 75% of Consultant’s time will be required to support the MBC, and 25% to support LSC. Excellent writing and communication skills and the ability to manage multiple tasks simultaneously and promptly are required.
As the first point of contact for clients, customers, and vendors, superb oral and written communication skills are vital to the role. Must be skilled in Microsoft Office, particularly Microsoft Word, Excel, and PowerPoint. Front Desk and Telephone handling skills are essential.
The successful applicant will be responsible, independent, detail-oriented, able to work under pressure, willing to learn, and want to do what it takes to complete the job. The tasks and duties of the position may be modified as necessary and miscellaneous responsibilities may be added as required. This role is an in-office position.
MICROSOFT AND WRITING SKILLS WILL BE TESTED . Required Skills This role works independently with minimal supervision and collaboratively, liaising with the Executives and all departments to support project goals and procedures. Excellent writing, communication, and critical thinking skills. Must demonstrate ability to work independently and manage multiple tasks simultaneously to meet tight deadlines.
Ability to deal effectively with vendors, suppliers, contractors, and government officials in person and over the telephone. Coordinate with the IT department on all office equipment. Minimum Education and Experience Associate degree is required; Bachelors is preferred.
Three to Five years proven experience as an Office manager, Executive assistant, or Administrative assistant. Proficiency in MS Office (MS Excel and MS Outlook, in particular). Work-related experience in contract administration, procurement and construction fields is a plus. Preferred Qualifications We are looking for individuals who have demonstrated experience in the following areas:

Professional manner and punctuality. Familiarity with use of social media. Core Duties Provide Answering Service for Maryland Business Center office phone and Call Routing for remote staff Evaluate callers’ service needs and client eligibility: provide new client forms or direct them to appropriate resources if caller does not meet client criteria Update event calendars on website and social media platforms Responsible for initiating and maintaining monthly campaigns i.e. “National Women’s Month”, “Black History Month”, etc. both on Center website, social media platforms and email blasts Responsible for creating and circulating Center email campaigns (events, announcements and opportunities) Responsible for determining which MBEs should receive specific procurement and contract opportunities and disseminating to them Responsible for collecting and formatting MBE Success Stories for internal and MBDA use Responsible for identifying, creating and maintaining external resource lists; associations, local government officials, Center Resource Partners, and any requested lists pertinent to the Center’s services and goals Contact current and new Center clients to collect updated and new Client Engagement, Intake, and Self-Certification Forms: enter new and updated client information and collected forms into Salesforce and assist Senior Business Development Coordinator as needed with additional Salesforce entries Enter and maintain all forms and documents into Center’s shared drive Maintain all account logins i.e. social media platforms, web conferencing platforms, SendInBlue, online add placements, association memberships, etc.
Maintain record and ordering of office supplies with approval from MBC Executive Director and LSC Comptroller Contact vendors for service and collect pricing/estimates as needed Client Outreach: scheduling consultations between clients and Senior Business Development Specialist Assist with Center Webinars and events as needed Circulate post webinar surveys to attendees and add recorded webinar to Center Website in Webinar catalog (when accessible) Assist and support with special projects when needed including conducting research, drafting documents, formatting and creating presentations per requirements specified. Provide weekly updates of deliverable status and progress at the end of each week L. S. Caldwell & Associates, Inc. Project and Administrative support as assigned. (Office Manager Core Duties) Support daily functioning of building/office.
Greet visitors and clients in a positive and professional manner at office and via phone. Ensure professional appearance of office through organization and supplemental cleaning as needed. Schedule appointments and meetings as needed.
Interview as needed and liaise with facility management vendors, including cleaning, catering, and security services, etc.
Monitor and purchase supplies along with organizing supplies and office records. Address employees’ queries regarding office management issues (e.g., stationery, Hardware, and travel arrangements) Plan in-house or off-site activities, e.g., parties, celebrations, and conferences.
