Job Title: Office Manager/Research Assistant(Part-time) Department:

Summary: Following are the primary responsibilities of the Office Manager/Research Assistant Essential Duties and Responsibilities : COIRE Administrative Support Duties – Maintain a progressive and accumulative electronic and physical filing system that provides for electronic capture of institutional and departmental assessments, findings, or other evidence; changes made to policies and procedures, etc. in support of compliance and/or institutional accreditation ​​​​​​​​​​​​​​Assist with meeting management and logistics, including zoom set up, agenda preparation, coordinating the schedule of the Chief of Institutional Effectiveness and Technology with other VP schedules for recurring and ad hoc meetings. During reaccreditation cycles, assists the leadership of the self-study team with administrative and clerical work.

Maintain complaints tracking from students, or employees, as they are reported. Support the systems and programs provided by ECMC. Maintain and update COIRE procedural documents.

General accounting/billing/billing inquiries/refunds and purchasing office supplies. Develop, implement, analyze, and communicate results of quantitative and qualitative research related to institutional research, institutional effectiveness, planning, accreditation, program assessment, and state/federal compliance. Respond to ad-hoc data requests from administrators, faculty, staff, and the public.

Develop and implement analytics and data visualizations in form of tables, charts, or dynamic graphs and dashboards. Assist with the administration and coordination of surveys (Qualtrics), focus groups, and/or interviews. Assist with the improvement in the collection, storage, and documentation of data.

Support the university’s effort in responding to surveys from US News, Princeton Review etc. in a timely and accurate manner. Update annual institutional publications (e.g., fact book, quick facts, ad hoc reports, etc.) and publish to website, post in the university’s intranet, and/or disseminate by other means. Other projects and duties as assigned, and consistent with experience and expertise.

Accountability: The position has the authority to make recommendations that will affect procedures, processes, and practices involving customers or employees within the same department as well as campus wide in regards to the operations of the campus, as well as compliance with regulations and accreditation standards Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Policies and procedures documentation experience is preferred. Administrative support or executive assistance experience is required. A working knowledge of computers and communications equipment.

Ability to work cohesively in a team-oriented environment. Advanced communication and customer service skills with the faculty, staff, students, and all types of community visitors, over the telephone and in person to receive and document student or employee complaints. Must have proficiency in English speaking and writing skills.

Computer proficient in Microsoft Office Word and Excel. Must be able to maintain databases (such as in Excel) Must be able to proof read executive reports, including appropriate depiction of statistical information in graphs and tables. Exceptional skill in time management.

Must be able to perform with limited direct supervision. Must function well while under stress. Must pass a criminal background check.

Language Skills: The position requires the ability to both author and edit reports or assist the Chief of Institutional Effectiveness and Technology with technical documents and prepare public education documents. Must demonstrate solid written communication skills.
