Position Overview

This position will provide support to ensure the efficient operation of our Burlingame office. Responsible for the overall office administration and creating an engaging workplace environment, to ensure organizational effectiveness, efficiency, and safety. This role will also support the Chief Business Officer and Chief Technology Officer and will work closely with leadership and administrative teams, both on-site and at our production facility in Greer, SC., to support the functioning of the organization and the mission of Proterra.

About the Role - You Will:

Office Operations:

  • Serving clients, staff, and vendors, welcoming and greeting guests, managing access, and directing them to appropriate departments.

  • Assist with the coordination of office events (i.e. new hire orientation, recruitment and interviews, catering, panel interview set up, logistics, booking vendors, etc.).

  • Managing office supplies, mail, equipment, and facilities. Maintain neatness of office.

  • Manage projects and workflow from drop-off to delivery.

  • Organize office operations in compliance with workplace safety and company policies.

Executive Assistance:

  • Support leaders with day-to-day operations - undertake a wide range of tasks, including managing complex calendars, handling expense reports, and optimizing travel arrangements.

  • Craft and refine correspondence, reports, meeting minutes, agendas, and presentations to uphold professional standards.

  • Ensure prompt follow-through on internal commitments, communications, and project deadlines to maintain operational excellence.

  • Collaborate on and proactively initiate administrative projects to support leadership and address process improvement.

  • Handle confidential and sensitive information with discretion and professionalism.

Event Coordination & Culture cultivation:

  • Plan and execute company events, from team-building outings to volunteer activities to foster a positive and engaging work environment where employees feel valued and motivated.

  • Team Assistance:

  • Supports various departments with ad hoc tasks and projects, lending a helping hand wherever needed including scheduling meetings, handling expenses, correspondence, and maintaining process documents.

  • Complete special projects and other duties as assigned.

  • This position will report to the HR Business Partner in Burlingame and collaborate with other team members on-site and at our production facility in Greer SC.

Your Experience Includes

  • High School Diploma with at least 4 years' experience as an Executive Assistant or Office Manager equivalent relevant experience.

  • Excellent interpersonal, customer service, communication, and proofreading skills.

  • Working knowledge of office processes and office equipment.

  • Strong organizational skills to manage multiple tasks in a high-activity, dynamic environment with accuracy and attention to detail.

  • Managing a large office area, keeping it organized and running with efficiency.

  • Ability to lift and carry up to 50 pounds.

Location: Burlingame, CA - This role is required to be 100% on-site.

Travel: 0 - 10%

Compensation: $100,000/yr - $120,000/yr
