Job Description Job Description Job Title: Office Manager / Accounting Assistant (Part Time 30 Hrs.
Per Week) Position Overview: We are seeking a highly motivated and proactive Office Manager / Accounting Assistant to join our small but dynamic team. This individual will be a key player in managing office operations and supporting the accounting department.
The ideal candidate is a self-starter who can identify inefficiencies, propose improvements, and implement solutions to streamline tasks and processes. This role is for someone who is detail-oriented, takes the initiative, and is excited to help drive productivity and growth within the office. Key Responsibilities:
Office Management: Oversee daily office operations and ensure the smooth functioning of all office-related activities. Manage office supply inventory, track usage, and reorder as necessary.
Greet visitors and ensure a welcoming and professional environment. Handle incoming phone calls and voicemails, directing them to the appropriate person or department. Assist with service calls.
Coordinate with janitorial vendors to ensure office cleanliness and maintenance. Organize and maintain office files (both physical and digital), ensuring they are easily accessible and up to date. Organize and maintain the digital shared drive, ensuring documents are properly filed, named, and easily retrievable.
Accounting Support: Manage and track rent payments, ensuring all rent checks are collected, deposited to the respective banks, and properly entered into AMSI accounting software. Perform accounts payable data entry, ensuring invoices are accurately entered and processed in AMSI.
Enter receivable deposits into AMSI and maintain accurate records. Prepare and distribute monthly management letters and reports, including making copies, mailing, and ensuring timely distribution. Assist with organizing and maintaining accounting-related physical and digital files to ensure compliance and easy access.
Process Improvement: Continuously assess office and accounting workflows to identify opportunities for streamlining tasks, reducing inefficiencies, and improving overall productivity. Take the initiative to propose and implement new software or tools that could enhance office operations and accounting processes.
Work closely with leadership to develop new processes or systems that support the company’s goals and objectives. Skills and Qualifications: 2-5 years of experience in office management and basic accounting functions. High school diploma required; college degree preferred.
Proficient in 10-key Strong computer skills, with proficiency in Microsoft Office Suite (Excel, Outlook, etc.) and AMSI or other Property Management software. Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously and meet deadlines. Strong attention to detail and a proactive, solutions-oriented mindset.
Ability to recognize inefficiencies and take initiative to implement improvements independently. Strong communication skills, both written and verbal, with a professional demeanor. Self-starter with the ability to work independently and prioritize tasks in a fast-paced environment.
Basic understanding of accounting principles, with the ability to handle data entry for accounts payable/receivable, rent collection, and general bookkeeping tasks. Preferred Qualifications: Previous experience in property management or real estate accounting is a plus.
Familiarity with office management software and tools, including project management and communication platforms.
