Office Manager, IT Dept
The primary role of an Office Manager is a unique opportunity to support the Veda's onsite operations and office functionality including setup for company gatherings, onsite security, vendor management, and contributing to executive support functions.
Reporting to the Chief Information Security Officer, Veda's Office Manager will develop as a technical business partner supporting employee IT hardware, software, and process related issues. The Office Manager also helps configure and maintain IT hardware and systems, train customers, and update related documentation.
This hybrid role requires onsite presence in our Madison, WI office on a regularly agreed upon schedule.
Core Responsibilities:
Manage and maintain the Madison, WI office. This includes, but is not limited to:
Coordinating office event planning and set up for team and company onsite and hybrid meetings
Provide inbound staff with travel & accommodation assistance
Setup and maintain the office Audio Visual hardware, configure for day-of meeting requirements
Prepare meal orders and service
Management of the facility vendors, including cleaning, catering, and security services.
Handling of inbound and outbound shipping and mail
Maintaining inventory of office supplies
Ensuring the cleanliness and organization of the working areas and storage spaces
Providing timely and effective IT and process support to customers by identifying problems, researching answers, and guiding clients through corrective steps or remotely diagnosing and rectifying issues on behalf of the client.
Providing documentation, note taking, and scheduling support for Veda leaders as directed by your manager
As you develop in the role, responsibilities extend to:
Install and configure computer systems and applications within the company, with oversight from the Systems Engineering team
Support, maintain, and monitor all aspects of computer networks in the Madison office
Seek constructive criticism and customer feedback regarding their experience with office software or IT services
Oversee the IT support ticket cue, and escalate issues as they arise
Help manage IT and SaaS vendors, with a focus on hardware management
Participate in development and execution of customer training programs for computer hardware, software, and IT/Security processes
Participate in special projects directed by your manager, including support of other technical leaders
About You:
You enjoy working in a fast-paced and high growth company with new opportunities to learn how to make it easier for the company to communicate and share knowledge across a remote workforce
You are comfortable working in and assisting others through company help desk software, such as JIRA Service Desk in addition to other remote access desktop programs
You have experience working with Mac OS, client device software, and supporting SaaS software tooling (ie. Google Workspaces)
You are often praised for your professional written and interpersonal skills when communicating with customers and clients
You maintain a high level of personal integrity including the ability to manage sensitive or confidential information
Required Qualifications:
1-3 years of experience as an onsite resource managing a corporate office.
1-3 years of experience with vendor and supply management, event planning, and/or administrative support for executives
1-3 years of experience with setup and troubleshooting A/V software and hardware
Ability to prioritize and manage several milestones and projects efficiently and the ability to establish reasonable and attainable deadlines for resolution
Required to be located in the Madison, WI area and be in the office on a regularly agreed upon schedule.
Must be able to lift 25 lbs
