You Are:

UST is looking for a highly organized and energetic office manager to join our growing organization, within the Workplace Management (WM) team. In this position, the candidate will be responsible for managing the day-to-day operations of the facility to keep it running smoothly. Candidate will develop the organizational processes and systems for the office personnel. The ideal candidate should have great communication skills and expert customer service skills, with the flexibility to multitask and work on varying size projects. Candidate should have an approachable personality and have impeccable time management skills. A basic understanding of facility management is preferred, as well as, the willingness to learn about the industry. Having a positive, optimistic attitude and be have an active interest in the company's best interest is key to be successful in this role.

The Opportunity:

  • Organize and document office operations and procedures; ensure these procedures are being followed by associates

  • Manage vendors/suppliers; agreements, invoices, etc.

  • Coordinate with IT department on all technical assets

  • Organize the office layout; order office supplies when needed

  • Assist with meeting setups; catering, supplies, security access, etc.

  • Maintain documentation for audits

What you need:

  • Associate or bachelor's degree or equivalent experience

  • Prior experience handling office responsibilities, experience in customer service or related field

  • Excellent written and verbal communication skills; proficient in English-language business writing

  • Highly organized multitasker who works well in a fast-paced environment

  • Ability to rapidly learn and take advantage of new concepts, business models, and technologies

Bonus points if:

  • Prior experience in building management

  • Knowledge with security badging and access control

  • Ability to troubleshoot general IT issues; video conferencing, Wi-Fi, battery power supply, etc.

The ideal Candidate will be an energetic, self-starter who can work effectively in a fast-paced collaborative environment.
