From the morning essentials that get us started to the office space that inspires our productivity, the Office Manager is there to make it happen. Your expertise lies in your positivity, approachability, and execution abilities in a rapidly changing startup environment ranging from top executives and real estate agents to engineers, new-hires, and interns. As an Office Manager, you will play a critical role in the daily operations of the office.

At Compass You Will:

  • Manage a team inclusive of a Facilities Manager, Receptionist and Coordinator(s). Report into HQ Real Estate & Workplace Operations Manager.

  • Act as primary POC for all key stakeholders to maintain effective communication across all departments.

  • Prioritize daily operational issues and effectively delegate responsibilities as needed.

  • Oversee budgeting, cost saving initiatives and vendor management with respect to all office operations functions including, but not limited to; office supplies, food and beverage programming, office equipment and furniture, and green initiatives. Approve and process invoices as-required.

  • Solicit and negotiate vendor bids, contracts, and pricing.

  • Oversee planning and logistics associated with events and meetings.

  • Anticipates office needs and is proactive in addressing them.

  • Assist employees and customers with various inquiries; act as a liaison between customers and other departments.

  • Coordinate with Recruitment and managers on new hire seating assignments and department heads on seating assignment change requests. Hold Facilities Manager accountable to maintain up-to-date seating charts in IWMS.

  • Work cross-functionally to balance competing priorities, think creatively to propose unique solutions, and communicate clearly and effectively to all stakeholders (Sr. Leaders, Team Leads, Finance, IT, etc.).

  • Ensure the entire office, from the meeting rooms to the copy areas are properly maintained and representative of the Compass brand.

  • Identify facilities issues and concerns and coordinate with Facilities Manager to address in a timely manner.

  • Mindful of all health and safety practices, including emergency evacuation procedures and routes. Active member of Fire Health and Safety team.

  • Manage internal communications including office updates and newsletters.

  • Perform other related duties as requested or as responsibilities dictate.

What We Look For:

  • BA/BS degree or equivalent practical experience

  • 2-3 years of service experience with an emphasis on facilities, hospitality, corporate services, property management, or equivalent office management experience

  • Previous people management experience is a plus

  • Event planning experience: corporate events, communications and/or PR

  • Articulate and polished communication style

  • Friendly, warm personality

  • Experience in providing administrative support in a professional work environment

  • Experience with Google Suite is a plus

  • Strong organizational skills, detail oriented

  • Demonstrated ability to quickly learn and master new software applications

  • Proactive and resourceful

  • Experience at a startup or real estate brokerage preferred

Job Purpose The Office Manager is responsible for managing all aspects of our New York office and front reception area in addition to providing the highest level of customer service and support to our executive management team, employees, clients and guests. Job Responsibilities Managing Office * Provide clients and employees with outstanding customer service * Be a steward for the responsible use of company resources * Maintain a clean, efficient, and well organized office * Develop and manage office related vendors and building management relationships * Answers and routes calls in New York office * Manage all incoming and outgoing mail and packages * Greet all visitors and check in/out research participants * Manage inventory and ordering of all office and kitchen supplies * Manage security access fobs in partnership with IT and building security * Manage building's visitor management system and work request platform * Manage booking of meeting rooms and research labs * Help develop policies and lead overall efforts related to office safety, emergency response and disaster preparedness * Organize social events (e.g. hosting/planning office happy hours, anniversary and birthday celebrations, and team activities) Supporting Staff * Provide necessary administrative support for research studies including coordinating with outside recruiters, scheduling and setting up lab and observation rooms, submitting access requests from building security for research outside normal business hours, and coordinating client meals, beverages, and snacks * Book airline travel & hotels for researchers, candidates, guests * Order cards/gifts/treats for birthdays, anniversaries, baby showers, weddings and any other special event for employees * Assist Executive Management team with scheduling meetings, preparing meeting materials as well as meeting logistics such as set-up and catering needs, and booking travel * Assist Operations and HR with the hiring and on-boarding process by scheduling interviews, meet and greets, new employee training, and preparing desks and new hire materials for each new employee * Assist with organizing company events and off-sites including meeting space, catering, team building activities/entertainment, and travel for remote staff * Assist Marketing team with marketing events * General Office support including composing correspondences; entering data/updating databases; helping create/collate presentations, reports and other documents Key Relationships * Reports to the VP of Operations * Works closely with employees, clients, study participants, and external vendors * This job has no supervisory responsibilities Knowledge, Skills and Experience We understand that outstanding candidates can come from a variety of backgrounds.
