Tradeweb is seeking a highly organized and proactive Office Manager to oversee the daily operations of our New York City office. The ideal candidate will ensure the smooth and efficient functioning of the office, providing essential support to employees and management, and maintaining a positive and productive work environment.

Job Responsibilities

  • Oversee the day-to-day operations of the office, including maintaining office supplies, equipment, and facilities.

  • Manage the Receptionist/Office Coordinator by providing direction to and developing growth of the employee

  • Manage Facilities Maintenance Coordinator by providing daily direction on tasks

  • Perform daily site walk-throughs with a pro-active approach towards improving the NYC location. Oversee office maintenance and process building workorders for repairs and general facility-related issues.

  • Assist with managing seat booking system and day-to-day employee requests.

  • Participate in construction projects and related moves.

  • Act as the liaison between Corporate Services and other internal TW departments such as Technology, Compliance and Human Resources.

  • Maintain a positive business relationship with building management and follow up regarding any unresolved problems.

  • Ensure adequate reception coverage, providing back-up support as needed.

  • Participate in the on-boarding process for new hires and internal moves.

  • Assist with coordination of special events such as Administrative Assistant's Day, Kid's Holiday Party, etc.

  • Participate in special departmental projects

  • Coordinate and oversee office maintenance, repairs, and renovations.

  • Ensure the office is clean, organized, and conducive to a productive work environment.

  • Answer and direct phone calls, emails, and other correspondence.

  • Assist with onboarding new employees, including reserving week 1 seating and providing orientation.

  • Organize and coordinate events and activities.

  • Liaise with vendors and service providers to ensure timely delivery of office supplies and services.

  • Hold vendors accountable for contracts and manage relationships with office suppliers.

  • Ensure compliance with company policies and procedures related to office management.

  • Ensure compliance with health and safety regulations.

  • Conduct regular safety inspections and maintain emergency plans.

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field.

  • Minimum of 3-5 years of experience in office management or a similar role.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in Microsoft Office Suite and office management software.

  • Ability to handle confidential information with discretion.

  • Problem-solving skills and a proactive approach to tasks.

  • Knowledge of health and safety regulations is a plus.

  • The current pay range for this role if performed in the city of New York is currently $75,000 to $150,000 per year, based on a regular, full-time schedule. The amount of pay offered will be determined by a number of factors, including but not limited to qualifications, market data, geographic location, and internal guidelines.
