Pay: $17.79 - $23.92

Job Summary: The office manager oversees the Main Office in the School of Education, Psychology, and Counseling responding to faculty and student needs and processing administrative requests and reports. The office manager also assists the Dean, coordinates student employees, and promotes a positive and productive work environment. Problem solving skills are essential to this position.

General Duties and Responsibilities

  • Provide customer service to the front office: guests, students, faculty, instructors, Southern employees.

  • Respond to phone and email communications from internal and external entities in a prompt manner.

  • Process financial requests, including petty cash, speaker honoraria, invoices, expense reports, etc.

  • Oversee inventory and purchase office supplies, copier/printer supplies, lab supplies, hospitality items, etc.

  • Perform reasonable business-related functions as assigned.

Building

  • Monitor building for security, hours of operation, cleanliness, energy management and repairs.

  • As Summerour Hall building coordinator, be available for Campus Safety requests.

  • Monitor equipment and coordinate any necessary repairs/updates.

  • With the Graduate Programs Manager, decorate building for Christmas.

Administrative

  • Meet periodically with Dean to discuss matters pertaining to the effective functioning of the office.

  • Provide assistance to Dean.

  • Respond to university administrative requests.

  • Update undergraduate class schedules with Records for electronic posting.

  • Serve as recording secretary for the various SEP committees and post committee minutes.

  • Process building and room access key requests with Locksmith each semesters.

  • Maintain a log of W-9 forms for guest speakers and process honoraria.

  • With the Graduate Program Manager, provide support to Dean for the annual SEPC Dedication Service.

Faculty Related

  • Assist new faculty and adjunct faculty in processing information with Administration/HR

(reminder for posting grades, assistance with drop slips, etc.). Track faculty qualifications.

  • Be responsive to professor/adjunct needs (forms, technology assistance, ordering of desk copies, etc.)

  • Assist in planning special events such as retirement recognition, Education Induction, as needed.

Student Related

  • Make staffing arrangements for the front office, in consultation with the Dean. Develop student employee schedules. Interview, select, and supervise student employees. In consultation with the Dean, coordinate student wage rate increases and semester-end bonus payments.

  • Approve the hourly undergraduate payroll (Mondays).

  • Monitor or respond to student requests and needs (e.g., add/drop slips, information requests).

  • Make arrangements with professors for meeting with prospective students on an as-needed basis. Prepare supplies. Meet with these students if professors are unavailable. Use SLATE for prospective student contact.

Assist with Preview Southern events.

  • Coordinate conference interviews for junior and senior education majors each semester.

  • Assist with student social events, such as Welcome Back parties.

  • Plan student appreciation, gifts to ACA students, and recognition of student missionaries.

  • Coordinate senior student awards and assist in processing SEP scholarships and Top Achiever awards.

Special Requirements Qualifications

  • Must have an expressed commitment to Jesus Christ, the teachings and mission of the Seventh-day Adventist Church, be an SDA church member in good and regular standing, and evidence a desire to serve in a cooperative, spiritually redemptive, and soul-winning atmosphere.

  • Must practice confidentiality of information at all times.

Qualifications

  • Administrative skills.

  • Professional experience.

  • Ability to speak and write English fluently.

  • Work-related computer skills.

Typical Physical Demands

  • Requires sitting, standing, bending and reaching. May require lifting up to 25 pounds.

  • Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines,

calculators, the telephone and other office equipment.

  • Requires normal range of hearing and vision.

Working Conditions

  • Essential tasks are performed under normal office/school conditions with little or no noticeable discomfort.

  • Work area is well lit and ventilated.
