Park Place of Elmhurst is an elegant five-star community conveniently located across the street from Edward Elmhurst hospital. We are seeking a full time Office Manager to join our team as a key leadership team member in carrying out our mission to deliver quality care to our residents by strategically managing our most valuable resource - people!

The Office Manager reflects the mission, vision, and values of Providence Life Services. The Office Manager performs a variety of administrative and operational duties to support the efficient day-to-day management and coordination of office procedures.

Summary of essential job functions

  • Utilizing excellent communication skills, perform general administrative duties as required or directed by the Executive Director/Administrator.

  • Manage, support, and hire the Concierge team, ensuring schedule coverage.

  • Serves as main contact for residents and families regarding billing.

  • Coordinate meetings and maintain minutes when needed. Schedule and participate as needed. Key member of leadership team and associated activities.

  • Consult with Executive Director/Administrator concerning administrative and business needs and related areas, to assist in eliminating/correcting problem areas and/or improvement of services. Maintain a good working rapport with all departments.

  • Perform administrative requirements to support the operations of the campus as needed.

  • Schedule appointments, process mail, answer phones, etc. Keep the appropriate person(s) advised of meetings, appointments, as necessary.

  • Collaborate with HR on personnel matters as required, keep all personnel matters strictly confidential; and maintain confidentiality of all resident information.

  • Support financial functions and communicate with corporate billers, facilitating accounts receivable and accounts payable activities.

Requirements

  • Bachelor's degree or equivalent experience

  • Effective communication and organizational skills required.

  • Exceptional typing skills

  • Minimum 5 years + direct experience

  • Background in writing or business a plus

  • Highly proficient in MS Office

  • Outlook Calendar Management

  • Must be able to push, pull, move and/or lift a minimum of fifty pounds to a minimum height of three feet.
