We are looking for a highly responsible, organized, and assertive individual who can proactively keep the office running smoothly. As the first point of contact for visitors to the office and employees each day, your positive, energetic, and enthusiastic personality will help shape Alianza's culture. The office manager will also support the executive team at Alianza offloading tasks and projects.

Office Administration

  • Manage the Alianza Office

  • Oversee the Alianza office in Pleasant Grove - keep office and storage areas organized, clean, and operating smoothly

  • Oversee and support all administrative duties in the office

  • Manage office supplies inventory, see that the break room and office equipment operates properly and is serviced as needed

  • Be the building primary point of contact, answer the main phone line, coordinate as needed

  • Manage the office calendar, coordinate schedules, and arrange meetings, including hosting guests, preparing rooms, ordering and setting up food, ensuring equipment works, etc.

  • Manage ordering and purchasing food and supplies for the Kitchen both online and at various

stores.

  • Stocking and organizing the fridge and cupboards regularly. Includes some food prep and

cleaning.

  • Receive and process shipment

  • Reception

  • Perform receptionist duties: greet visitors and make them feel comfortable, answer and direct phone calls, shipping and acceptance of deliveries

  • Admin Support

  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, research, and special projects

  • Assist executives and other administrative functions as needed and offload tasks where possible

Desired Qualifications

  • Some office management or admin support experience helpful

  • Outgoing, optimistic

  • Responsible

  • High attention to detail

  • Self-starter, constantly looking for ways to improve and add value

  • Proficient in the Microsoft Office Suite Ability to lift 35 pounds

  • Excellent organizational skills with an ability to think proactively.

  • Have a vehicle to transport groceries etc.

  • Creativity in choosing a variety of healthy foods and presenting them in an appealing manner.

  • Strong alignment with Alianza's mission, vision and values
