Who You Are

We are seeking a collaborative individual with exceptional customer service skills to join our team as our Office Manager. The ideal candidate will possess outstanding time management skills and the ability to recognize and address various needs within our office environment.

In this role, you will interact with a diverse range of individuals, including employees, the Board of Directors, the Executive Leadership Team, customers, and other guests. Strong communication abilities, coupled with a professional demeanor, are highly valued. As this position involves handling sensitive and confidential information, we expect the chosen candidate to demonstrate professionalism and discretion.

You will provide support to an office comprised of diverse individuals and be responsible for organizing, coordinating, and maintaining office administration to ensure efficiency, effectiveness, and safety. This entails managing inventory, maintaining relationships with office vendors and service providers, and warmly welcoming office guests. We strongly prefer candidates with experience in handling a wide array of administrative tasks and providing executive-level support. The ability to work independently with minimal supervision is essential.

In this part-time role, your typical hours will be from 9AM to 3PM (Monday-Friday), with a 1-hour lunch break. However, please note that there may be occasions (ie: customer or partner on-site) where the hours could vary accordingly.

What You Will Be Doing?

  • Administrative:

  • Plan and schedule organization-wide and office-wide events, including on-site meetings, new hire orientations, CEO-directed meetings, making reservations, sending invitations, arranging accommodations, and coordinating food and beverage requirements.

  • Supporting the Critical Start Culture Squad and Employee Resource Groups (ERGs) with organizing events.

  • Screen and direct company phone calls, voice mails and general emails.

  • Disseminate general office-wide and company-wide communications.

  • Coordinate and organize employee gifts, celebrations, and condolences, both scheduled and ad-hoc.

  • Manage the CEO's calendar, travel arrangements, and reservations, or delegate these tasks.

  • Provide administrative support to the Executive Leadership Team.

  • Undertake ad-hoc projects as requested by the Executive Leadership Team.

  • Schedule guests and speakers, coordinate travel and reservations, prepare agendas, and organize catering for Executive Briefing Center events.

  • Reception:

  • Serve as the face of the Plano-based staff, welcoming and coordinating visitors, guests, interviewees, new hires, and other third parties.

  • Act as a point of contact among executives, employees, clients, and external partners.

  • Establish a standardized process for mail and package delivery, ensuring timely distribution to recipients.

  • Office Management:

  • Foster a productive and collaborative office environment in Plano by coordinating and anticipating office-wide inventory, ordering, storage, and restocking needs.

  • Maintain all public spaces, including conference rooms, break rooms, and shared areas.

  • Manage the relationship with building maintenance and custodial staff, ensuring the delivery of a consistent level of service and promptly addressing any issues.

What You Will Bring?

Required:

  • 2+ years of administrative experience in a professional office setting.

  • Exceptional customer service skills.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills.

  • Proficiency in Microsoft Office suite (Word, PowerPoint, Excel).

  • Ability to be highly organized and work effectively with minimal supervision.

  • Ability to thrive in a fast-paced environment.

  • Physically capable of lifting and stocking office and kitchen supplies.

Desired:

  • Maintaining an active Notary Public commission within the State of Texas.

Mental and Physical Requirements

Physical:

  • Must be able to apply established protocols in a timely manner.

  • Ability to complete tasks and perform in situations requiring speed deadlines, or productivity quota.

  • Ability to work effectively and efficiently in high stress situations.

  • Ability to simultaneously address multiple complex problems.
