General Job Description

To be responsible to the Principal and Families of Leman Academy for the management of the school office in order that it is an effective administration center where staff and visitors are supported. In addition, the purpose of the Office Manager is to act as the main point of contact for all administrative duties that happen on the campus levels from the Arizona Department of Education compliance, Scholar Information Systems (Synergy), Teachers and Administration Support. This is NOT an administration position within the campus but will act as the first report to the administration team on each campus and will often be called on to make business decisions that will affect the entire campus' population including scholars, families, teachers, and the community being served.

Minimum Requirements & Qualifications:

  • Completed Online Application (Required)

  • Bachelor's Degree in Business preferred or equivalent work experience in office administration

  • 5-10 years of School Administrative Experience (Required)

  • Experience using Student Information Systems

  • Arizona Department of Education training a plus

  • IVP Fingerprint Card

  • CPR/1st Aid Card

  • Experience in Charter School settings is a plus

Essential Job Functions:

  • To be responsible for the daily running of the school office. Manages the Administrative team (front desk and Lead Admins)

  • To shows creative flair in developing the administrative areas of the school in line with current Arizona Department of Education (ADE) and Leman Academy of Excellence regulations.

  • To act as the administrator for KLZ and SIMs.

  • To seek advice from the Principal on matters of doubt/difficulty.

  • To develop computer-aided administration, initiating new applications to support the school as a whole.

  • To act as the focal point for communication both orally and in writing with teaching and support staff, scholars, parents, and outside agencies while maintaining strict confidentiality.

  • To assure that the front office team including Lead Admin/Front Admin Assistants are managing the front office, parents inquiries with grace and with the utmost customer service in action.

  • To draft routine correspondence using appropriate software including newsletters to staff, parents, and scholars as necessary.

  • Office Manager will collect, draft, and send monthly/weekly newsletters to parents/families. Coordination of information that is outgoing is to be discussed with Site Administration and discussions with Student Systems Administrator to assure all information is correct, up to date, and necessary.

  • To establish and maintain appropriate scholar and other records (e.g. the school admissions register, contact lists in the event of accidents to scholars or staff, etc.), including assisting in or where appropriate undertaking, the preparation of statistics, reports on the work of the school and the completion of returns required by the ADE or LAE.

  • To correctly administer admissions and support improving attendance through working with Site Administration.

  • To ensure all Personnel data and contracts are correct and up to date in Synergy.

  • To deal with the administrative tasks relating to the transfer of children/withdrawals and the requirements of the School Health Service and other outside agencies.

  • Manage Guest Teacher online program (frontline) including request s and quality assurance of teacher plans inputted into the system and communication back to the guest teacher coordinator on quality of guest teachers. The office manager will act as the site Subject Matter Expert (SME)

In addition to the Frontline System, the Office Manager will act as the SME for:

  • Synergy Student Information System

  • MailChimp (Newsletters)

  • Intacct (Procurement system)

  • Web Ordering (Teacher Print Order System)

  • Paylocity PTO Request

  • ADE Reporting

  • Bloomerang

  • To have due regard to the provisions of the Health and Safety at Work legislation in discharging the duties of the post.

  • To undertake general office duties, distributing and dispatching and receive mail, photocopying, clerical work, and any other duties as required.

  • To hold a recognized first-aid certificate or be prepared to be trained to deal with children's' medical needs, as appropriate.

  • Updating the school calendar (if necessary)

  • Act as the school Liaison to the School Parent Teacher Organization

  • Aid in all Parent Teacher Organization programs/events that are put into effect to assure that school policies are being followed

  • Preparing all-school assemblies, awards assemblies, and outside events

  • Managing, maintaining and planning all required ADE compliance events including fire drills, evacuation drills and lockdowns (assuring reports are stored and auditable by ADE standards)

  • Training of administrative staff on new systems bi-annual

  • Facilities management: assure that all ordering of supplies (paper, notebooks, pens, etc) is run through the correct channels and overspending is never an issue

  • Attend training annually on ADE compliance needs and AZ Charter Association trainings to assure that all staff, including teachers are brought up to date to changing regulations

  • Coordinate all training and room plans for Professional Development

  • To update the School Website by contacting Tagline Media to assure.

  • Employees will be expected to comply with any reasonable request from a manager to undertake work of a similar level that is not specified in this job description.

  • Skills, Knowledge, and/or Abilities Required:

  • Skills to manage personnel and programs, communicate effectively, problem-solve.

  • Abilities to sit for prolonged periods, provide direction to others and make independent judgments, keep and maintain accurate records, meet deadlines, communicate with individuals of varied cultural and educational backgrounds, communicate in oral and written form.

  • Significant physical abilities include reaching/handling/fingering, talking/hearing conversations and other sounds, visual acuity/depth perception/visual accommodation.

  • Ability to work alongside C-Level Executives and to decipher what information is proprietary and what can be shared externally

  • Working alongside a high level administration team as a partner

  • Strong Customer Service focused mentality

  • Willingness to "jump in" and help where necessary.
