We are looking for an Office Manager to support our new office in downtown Boston. This role is responsible for providing administrative, logistical and project support to the Boston Global Fund Services team.
This role is required to be in the office 4 days a week.
Major Duties :
Coordinate the onboarding of new staff to the office.
Responsible for monitoring, maintaining office supplies inventory. Reviews and approves office supplies as needed.
Maintains and streamlines office administrative operations and procedures (e.g., office supplies, travel booking, mail distribution, expense processing, etc.)
Facilitate meetings - coordinating the space, catering, and technical/AV support as appropriate;
Space management and planning - including allocation of permanent and guest offices
Responsible for coordinating facility and technology access requests.
Identify areas for administrative improvement and implement process changes
Carries out complex activities with significant financial, client, and/or internal business impact
May have direct interaction with committees and/or Senior Management
May provide input and support to budget management process
Participates in the planning and administration of the business unit
Collects, compiles, and analyzes data and information for reports and presentations for the department.
Runs and creates formal reports for business unit. Updates manuals, procedures, etc.
Responsible for identifying and resolving problems within established guidelines.
Required skills
Strong organizational skills are needed to prioritize assignments
Excellent oral and written communication skills are required
Knowledge of office management is preferred
Analytical and problem solving skills are required
Technical skills / systems knowledge (e.g. PowerPoint and Excel) is required
Experience:
Administrative work or office management experience is required
