What You'll Do

  • Oversee expansion of office space

  • Respond to day-to-day office issues and employee requests

  • Manage and monitor office supplies, inventory, and swag

  • Contract, negotiate with and oversee external vendors

  • Create an office environment that promotes creativity and productivity

  • Keep a pulse-check on office culture and organize social activities & events

  • Ensure our office meets government regulations and environmental, health, and security standards

  • Participate in special projects by department as needed

This will allow for the development of an overarching sales strategy through which the specialty risk appetite and product offerings can be profitably optimized and expanded. The responsibility of the Munich Re Specialty Insurance Office Manager is to provide general service support to Munich Re business units, and all other employees at the NY headquarters, in an effort to ensure that all office components related to running a business are maintained and operate smoothly. This position will apply, communication, project management, reporting, and planning skills while working in close collaboration with the staff to achieve objectives of the business units. The job requires extensive cross-functional interaction and expertise with a range of roles to ensure that a variety of tasks are accomplished. The position offers a unique opportunity for personal development. * Provide administrative support to Munich Re Specialty Insurance business units, other employees and guests at the NY location (i.e., , travel arrangements, visitor registration, document processing, a.o.) * Responsible for proper and timely mail distribution for the department (incoming and outgoing). * Assists in document processing (Word, Excel, PowerPoint) * Organize travel itineraries for individual or group trips. * Arrange meetings and conference calls for business units. * Create and maintain office files. Manage record retention of office files. * Liaise to Accounting, Facilities, IT, HR, Travel and Security departments of Munich Re of America * Coordinate external vendor contacts * Oversee business continuity * Liaise with IT for software & hardware replacements/updates * Act as the local Facilities liaison to coordinate the assignment of workstation for new hires and guests and meeting room space * Manage office supplies and the general office environment * Responsible for equipment maintenance & supplies * Act as office and kitchen supply coordinator with the authority to approve supplies orders * Organize internal and external events * Maintain conference room and work space reservation calendar * Liaise with building management for visitor registration * Coordinate office space needs from other divisions and affiliated companies, corporate/charitable events and executive office visits * Schedule and coordinate routine maintenance and vendor activities such as copy repairs, coffee service, technical maintenance, etc., as well as order and maintain approved office supplies. * Schedule and arrange logistics for large group/divisional meetings for both internal and external participants. * Greet employees and guests (as needed), as well as assist visitors with connections to local network, printers, phones, AV systems, ClickShare, etc. * Arrange meetings and conference calls for employees and executive staff. * Reservation of rooms and amenities. * Plan events, meals, meetings, and conferences for the company * Maintain internal communications feeds via office monitors and TV screens * May perform administrative support duties for assigned staff including but not limited to: * Maintain calendar(s) for assigned individuals. * Support more complex travel arrangements for groups or individuals, including last minute and/or emergency itinerary changes. * Preparation/Submission of General Payment Authorizations. * Complete large volume copy/scanning projects.
