The candidate selected will be responsible for the following:

Data Entry/Systems

  • Work all claims via Evolv routing prior to billing runs and communicate with the Operations liaison as issues arise

  • Process and submit expenses to the state or other entities for reimbursement, if applicable.

  • Enter all intakes and discharges into the Electronic Health Record

Environment Management

  • Coordinate the flow of outside communications within the office (ie. phone, fax, mail, email)

  • Ensure the confidentiality of client records and office environment

  • Complete errands on behalf of the office (ie banking, post office, shopping for office needs)

  • Primary contact for maintenance and food related contracts

  • Assist in travel schedule for GM and other staff as assigned and book accommodations, flights or automobile rentals

Leadership and Development

  • Provide clear expectations and oversight for all administrative specialists in the office

  • Attend and participate in in NECCO meeting structure, administrative specialist conference calls and activities

  • Communicate in a responsible, courteous, and professional manner with stakeholders

  • Assist with meeting minutes as assigned

Financial Services Management

  • Manage the overall administrative financial activities of the office, such as billing, SCL client accounts, IL stipends, and claim reviews

  • Serve as liaison with the finance team regarding issues related to billing/payments/claims for office programs

  • Follow up on held/denied claims related to all revenue producing programs communicating with finance to resolve issues

  • Provide current and accurate information to the team regarding per diems and any other missing/needed financial data

  • Maintain the financial receipt software for General Manager/Program Director

  • Complete a monthly review of all held/denied claims with head of each program

  • Complete and submit expense reports timely

  • Assist with payroll data entry to ensure accuracy and timeliness

  • Other duties as assigned

Position Qualifications:

  • Minimum of 21 Years of Age

  • High School Education (Bachelor's Degree Preferred)

  • Valid Driver's License and 100/300/100 Auto Insurance Coverage

  • Minimum of 2 years applicable experience

  • Training and Travel willingness

  • Excellent communication, writing and organizational skills with a high level of proficiency

  • Successful completion of all required criminal background checks

  • Must possess the skills to navigate and execute software programs (i.e Microsoft Office, Database, Electronic Health Record, Dashboard)

  • Willingness and experience in working within a team structure

  • Must have the ability to adhere to scheduled and unplanned deadlines
