Job Description
The Office Manager reports to the Executive Assistant & Corporate Event Planner and is responsible for overseeing the daily administrative operations of the corporate office and ensuring a productive and efficient work environment. This role involves coordinating and assisting in all areas of the office functions including reception and efficient management of supplies. The Office Manager should possess excellent interpersonal skills for establishing & maintaining effective working relationships with other employees, vendors, other departments, public officials, and the general public. Ability to multi-task is very important in this dynamic environment.
Qualifications
DUTIES AND RESPONSIBILITIES
Compose correspondence, answer inquiries, screen & direct calls, visitors, and guests
Organize and host staff meetings and luncheons
Provide administrative support for other managers and officers as needed
Purchase office supplies (copy paper, toner) and supplies for the break room (coffee, snacks, paper towels, water, etc.)
Responsible for office mailing; sorting and distributing incoming and preparing outgoing mail
Maintains supply of mailing supplies (i.e. FED EX, USPS envelopes and labels)
Supply and maintain the copy room and mailroom for members of the management staff, as needed.
Ensures postage machine has adequate funds available and processes request for replenishment
Monitor incoming facsimiles and distribute to appropriate personnel.
Carry out daily office tasks and other duties as assigned
Assist the Executive Assistant & Corporate Event Planner as assigned
Serve as an ambassador and role model of the company (you're always in the spotlight!)
Represent Revenue Properties Management Company in the community
Morguard
Process miscellaneous documentation including capital requests, personnel and accounting forms
Handle incoming invoices and payments in accordance with policies set
Track corporate office expenses and ensure we are within budget
Perform and/or assist with special projects/events as needed by management
Executive Support:
Assist the Executive Assistant & Corporate Event Planner with executive support, including, but not limited to:
Reconcile credit card purchases, including tracking purchases, reconciling monthly statements, obtaining signatures and receipts, and submitting prepared expense reports within Concur
Support the Executive team as needed in preparing for internal or external meetings, conducting research, and coordinating logistics if necessary
Provide administrative support to Executive team in terms of managing meeting logistics, making travel arrangements, and coordinating schedules if necessary
Event Planning:
Support and coordinate Company philanthropy projects, including but not limited to, LLS South Florida Light the Night walk and Office holiday food, North Pole Express, etc.
Develop ideas and coordinate events for corporate teambuilding (Quarterly Golf and Grub, company kickball team, etc.)
Assist with booking venues and event setup, including seating arrangements, décor, etc.
Maintaining organized records and documentation for each corporate office vendor
Qualifications
Minimum two (2) years experience in general business procedures and financial preparations
Bi-lingual (French and/or Spanish) - preferred, but not required.
Effective writing, communication and organizational skills.
Ability to prioritize and work within deadlines.
Proficient in Microsoft Excel and Word.
Be committed to the success of each associate as a member of the team.
Customer service oriented.
High School graduate; college degree preferred but not required.
Drug test, criminal/credit background check and reliable transportation required.
May be required to work weekends, holidays and overtime.
Be able to bend, stoop, and stand.
