Consider joining us Job Summary: The role of the Office Manager is to oversee all daily operational functions for PICS (Partners In Community Supports). The Office Manager manages administrative staff, advises operational standards and methods, ensures operations meet DHS contract and licensing requirements, utilizes data to inform programmatic decision-making, and maintains professional relationships with vendors and cross-functional teams, other LSS lines of service, PICS vendors, and community partners. To be successful in this role, the candidate should possess strong interpersonal skills, excellent organizational and time management skills, and critical thinking and problem-solving skills are essential. This position may have the option of hybrid work, which will be based on business needs and supervisory discretion. Qualifications and Requirements: Associate's or Bachelor's degree in office management or administration or related field and/or years of experience, which can include lived experience that is applicable to the job and performance. Administrative experience in a small to mid-size organization. Bi-lingual (i.e., English with Spanish, Somali, or Hmong, etc.) is preferred. Prior supervisory or staff development experience preferred. Proficiency in Microsoft Office applications - Word, Excel, Outlook, PowerPoint, and SharePoint. Familiarity with Microsoft Teams or similar collaboration software. Able to communicate effectively using phone, email, or in-person. Able to draw on organizational and interpersonal skills to ensure continuous cooperative working relations and open communication among collaborating partners. Ability to follow and interpret written and oral instructions - using analytical thinking when prioritizing work. Able to interpret agency and program policies and other regulations in developing, managing, and overseeing service operations. Able to function independently in a variety of roles and settings. Excellent organizational and multitasking abilities. Ability to work collaboratively in a team-oriented environment. An ability to take initiative, be self-motivated, and solve problems. Familiarity with HIPAA and client confidentiality preferred. Familiarity with USPS business mailing standards preferred Experience preparing mail and related equipment (postage machine, envelope inserter). Exceptional planning and organizational skills with a quality focus, attention to detail, and proactive with ideas and recommendations for productivity and efficiency.
