Good communication and multi-tasking. Preferred: Bachelors Degree preferred or 3-5 years healthcare management experience which includes financial reporting and budget preparation and monitoring. The position maintains the monthly statistics on security activities, patient watches, and security patrols. All meetings, caterings for various meetings and department mailing will come through the office coordinator. All supplies for the department will be ordered through the office coordinator.#Any urgent or difficult situations will be reported to the director of the department at any time to receive assistance or direction. #Primary Position Responsibilities Documentation # Type and process a variety of correspondence, reports, forms and confidential documents from drafts, notes, or brief instructions; proofread materials for accuracy, completeness and compliance with department regulations. Maintain and update both manual and computerized records, files and logs, including incident reports information, parking violations, access control records, vehicle registrations, Everbridge records, and related safety and security information. Conduct daily safe audits to ensure accurate and safe keeping of all valuables. Generates all monthly statistical reports required for the Workplace Violence Prevention Committee and the Environment of care Steering Committee. Communication # Disseminate records information to department staff, healthcare system departments, and outside agencies according to established guidelines. Prepares agendas and make arrangements for department, committee, and other meetings. Acts as Primary Liaison with State and Local Fire Marshalls for all Hunterdon Healthcare owned and/or leased properties to ensure code compliance. Departmental Budget # Maintains department purchasing records in support of the departmental budgetary process, Completes and verifies #Request for Payment# invoices for accuracy for all vendors as submitted. Completes and maintains all department filing relating to the departmental budget by natural class distinctions. Coordinates services needs on contracts with respective vendors as necessary. Planning and Organization # Monitors deadlines for various Joint Commission, Local, State, and Federal reporting requirements. Manage all preparations for Emergency Preparedness, and Workplace Violence Prevention Committee meetings as well as staff meetings including: scheduling; crafting of all presentation materials; obtaining materials from staff and committee members. Develops critical communication pertaining to E-Prep and Workplace Violence Prevention Committee Agendas, various correspondence, related documents and reports. Scheduling - Responsible for assigning all Safety and Security Officer shifts finds coverage for open shifts. With the approval of the Administrative Director of Safety the Office Coordinator will post a monthly work schedule showing assignments made 45 days prior to the beginning of the new schedule. Training # Coordinates all rooms and instructors for all HHS staff required to complete the CPI Crisis Intervention Program. Conducts New Employee and Medical Staff Orientation programs. Coordinates all Code Red, Code Adam, and Hazard Rounds for the Medical Center. Manages the New Officer Training Program to ensure compliance with all training requirements. Organizes all off Site Fire Drills, Hazard Rounds and other educational drills to ensure compliance with regulatory guidelines.
