Get to know the Role:
As a leader in an exciting and dynamic industry that is evolving daily, we are seeking a talented Office Manager to join our team. You will specialize in building a world-class culture and office environment through effective communication, integrity, organization and forward thinking. You manage, organize and communicate at all levels to make sure our employees have everything they need. You should drive enjoyment from helping our office run smoothly and our teams run effectively.
The day-to-day activities:
Coordinate strategic and tactical planning in the areas of office space, costs and administrative support (including but not limited to contracts, facilities, insurance, hardware, equipment, maintenance, emergency preparedness, etc)
Engage in office capacity plans as we grow
Manage processes for facilities purchases through Oracle (i.e., office supplies, leases, food vendors, parking and other facilities related bills).
AssistingShared Service Center(SSC) with company purchase reconciliation(receiving goods, tracking down receipts)
Managing budgets and spending allocated for Facilities
Manage courier services (e.g., Fedex, UPS)
Coordinate scheduling (including but not limited to team events, office wide events, travel arrangements, etc)
Oversee office support for day to day systems and onboarding of new teammates
Manage multiple vendors and have experience in managing costs down to meet HQ budgets
Maintain seating plan and space allocation in the office.
Liaise with building management to ensure offices are well maintained including the cleanliness of the space, office furniture, fixtures and equipment
Manage guest reception, parking related matters, and key entry management (door access card issuance and disconnect)
Order and facilitate food and beverages
Own disaster preparedness and business continuity planning in order to protect Grab employees, minimize disruptions and contain negative impacts on local communities.
Special Projects: Coordinate with Savills on F5 sublease matter, Phase 3 office re-opening.
Work with engineering teams and business leaders to create an office that mirrors our core values while creating an inviting place to work
Understands how workspace contributes to the culture of the office.
The must haves:
4+ years of experience managing a software engineering office of at least 100 people preferred
Strong understanding of facilities, new employee onboarding and general IT systems (e.g., GSuite, Office 365, Slack, Confluence(or wiki), Oracle(or financial software), Jira, and Draw.io) needed to run an engineering office. Envoy and Biostar are a plus.
Experience managing multiple projects at one time while having a history of successful delivery for our employees
Possess excellent communication at all levels
Experience with facilities management including leases, vendor management and office moves etc.
Able to think critically of our current office systems in terms of office growth and stability
