Office Manager for CAS Dean
Description
The College of Arts and Sciences (CAS) Dean's Office Manager manages the office of the CAS Dean. The position provides administrative and academic management support to the Dean, Bible and Ministry, Liberal Arts, Social Sciences, Natural Science Divisions, Prison Initiative, Christian Service Learning, and to students.
Responsibilities
- Manage the CAS Dean's Office
- Maintain a welcoming environment for faculty, staff, students, and guests
- Manage the interface between the Dean's Office and other departments of the University
- Manage the Dean's calendar and agenda; assist with the Assistant Dean's calendar
- Process correspondence and assist the Dean in providing timely and appropriate response
- Receive and respond to incoming calls
- Manage and meet with probation students
- Process accounting needs for CAS faculty and staff, which includes but is not limited to credit card statements and reimbursements

- Assist the Dean with the administration of the College of Arts and Sciences
- Maintain current faculty records, including teaching assignments, faculty study leaves, and data to support annual performance reviews
- Process adjunct applications and obtain required documentation
- Prepare and assist with the interview schedule for prospective faculty
- Collect, save and upload each academic year's syllabi from all of CAS faculty and maintain files of current and recent course syllabi
- Collect course listings from division chairs for each academic year and submit completed list to the Registrar.
- Prepare and distribute minutes of faculty committees and meetings
- Coordinate scheduling of and arrangements for faculty and committee meetings
- Prepare letters to students placed on academic probation and maintain records to support and document these assignments
- Prepare letters to students on the Dean's list following each term
- Receive and obtain approval for all science lab supplies, setting up new vendors and coordinating delivery of equipment and lab materials.
- Coordinate and supervise major projects including website updates, biennial catalog revisions, annual reports to ABHE, and preparation of accreditation substantive change and reaffirmation documents
Support the Bible & Ministry, Liberal Arts, Social Science Programs and Natural Science Divisions by assisting with textbook ordering, proctoring exams, and clerical duties.
Assist affiliate, online and residential adjunct faculty
- Facilitate communications with adjunct faculty
- Assure that adjunct faculty files remain up to date, including contracts, background checks, and other required documents
- Oversee faculty travel and accommodation arrangements
- Collect and store syllabi each academic term from adjunct faculty
Assist faculty in processing paperwork for student workers and graduate assistants
Coordinate administration of various assessment instruments and/or processes as necessary in coordination with the faculty and/or the Director of Institutional Research.
Assist in the mentoring and/or discipling of students on campus as time allows in consultation with the Dean.
Qualifications
- Ability to create and maintain a positive, orderly, and service-oriented office environment
- Familiarity with CIU's ministry and academic environment, principles, and procedures
- Thorough knowledge of the Undergraduate curriculum, academic programs, and policies
- High capacity level
- Computer skills, including word processing, spreadsheet, web design and e-mail communication
- Operation of copiers, phone systems, fax, scanners and Scranton grading machines
- Ability to communicate effectively and to act wisely and decisively
- Office experience, preferably in an academic environment
- Possess both a task orientation and a people orientation; that is, an ability to get a high number of tasks done in a high traffic environment where walk-ins suddenly become first priority
- At least A.A. Degree or equivalent experience
- Familiarity with the world of higher education
