Responsible for all day-to-day operational activities within the practice. Facilitates a team effort in the delivery of superior patient experience. Creates a highly functional, engaged team. Assumes the responsibility for the risk management of the practice.

ACCOUNTABILITIES

  • Manages patient access to meet practice revenue/encounter and customer service targets.

  • Maintains practice overhead to established financial target

  • Manages and maintains reports, participating/coordinating benchmarking and data collection to support quality, service, risk and medical expense reduction.

  • Supervises, directs and oversees responsibilities and duties of office staff to ensure productivity and efficiency of office. Ensures that staff understands and follows established policies and procedures. Implements, defines and supports policies and procedures in the practice with appropriate approvals.

  • Supports academic integration by incorporating Learners into the Practice environment.

  • Establishes and maintains accurate recordkeeping and filing systems to include HR, payroll, billing, purchasing, AP, clinical and operational requirements. Communicates changes to physicians and employees in a timely fashion.

  • Prepares purchase orders and AP requests. Responsible for maintaining supplies, inventory and ordering processes. Reviews and approves supply and service purchases as per protocol.

  • Schedules office staff and verifies hours worked. Monitors and approves overtime and ETO for all employees. Approves payroll hours as per protocol.

Job Requirements

  • High School Diploma or GED With Minimum of 3 years of Documented Supervisory Experience or a Bachelor's degree in Business or a related field.

Skills:

  • Excellent computer skills, including Word and Excel or similar software

  • Strong interpersonal skills with the ability to lead and direct both clinical and clerical staff.

  • Strong organizational skills.

  • Able to balance needs of the physicians and the initiatives of the organization.

  • Demonstrates and promotes a strong commitment to achieving customer satisfaction.

Years of Experience:

  • Minimum of three years of documented supervisor experience if HS Diploma/GED.

WORKING CONDITIONS

Physical Demands:

  • Must be able to move about the practice/department and between workstations.

  • Must be able to understand directions (written and verbal), communicate and respond to inquires

  • Must be able to occasionally lift or carry light equipment or supplies.

  • Must be able to input and retrieve information from a computer

Primary Duties: essential duties are denoted with * * 1. Manages the overall department's expenses, especially Salaries, Outside Service and Freight to within the approved budget for the year. * 2. Because employee satisfaction and engagement is so critical to our mission and outcomes, lead and mentor the MM employee into a highly efficient and effective team that works together to find solutions to daily tactical challenges and long term strategies while finding value and satisfaction in the service we provide. * 3. Collaborates with the System Inventory Control Manager to minimize stock-outs in IC12 Asset and IC81 PAR inventories. * 4. Collaborates with the System Inventory Control Manager to minimize unproductive inventory in IC12 Asset and IC81 PAR inventories balanced with the customer's emergent needs. * 5. Work with hospital leaders and System Director to maximize value of the worked hours invested by Materials Management to service internal customers as measured by product and equipment total quantities delivered per worked hour and data comparison to Truven (Action O-I). * 6. Assist business units with vendor representative compliance to campus visitation procedures and required and expiring credentialing requirements. * 7. Provide internal training and education on best practice inventory management processes with hospital departments and leadership in order to better facilitate understanding and participation in collaborative solutions. * 8. Manage the inbound and outbound flow of inventory to maximize the efficiency and effective of the investment and ensure proper payments and credits to and from vendors. * 9. Assists in the communication and execution of value analysis, standardization and product conversion programs and ensures that conversion coordinators are engaged and timely when with business units and with the Conversion Liaison. * 10. Coaches and facilitates the growth and development of associates within the department. 11. Performs other duties and responsibilities as directed or required.
