  • Serves as Executive Assistant, completing given projects;
  • Effectively manages CEO calendar, travel arrangements, and internal & external communication & materials related to meetings, calls, and interviews;
  • Files expense reports & reimbursements on behalf of the CEO;
  • Acts as central point of contact between employees and building services, including securing building passes, coordinating gym access and filing service and repair tickets;
  • Ensures upkeep of office space and coordinates office services;
  • Manages purchasing of all office and kitchen supplies, maintaining inventory and managing costs;
  • Restocks kitchen area with appropriate supplies;
  • Coordinates IT services with external vendor including in-office visits and priority repair tickets;
  • Reviews & approves invoices related to IT services, office and kitchen supply orders;
  • Assists with employee engagement events, including on-site lunch orders, pot-lucks, monthly event set up & clean up;
  • Assist with finance/accounting and benefits administration as needed;
  • Assist with contract filing as needed;
  • Participates in special projects, helping research, implement, and document new initiatives, including ongoing policies and office procedures, and new HR and employee systems;
  • General administrative duties (e.g., taking detailed notes, preparing meeting materials) and special projects.


  • Office management experience with comprehensive understanding of daily office operations;
  • Ability to maintain composure, exercise discretion and make sound professional judgments in a busy office;
  • Outstanding verbal / written communications and strong interpersonal skills
  • Self-starter; able to work both independently and as a team player
  • Strong organizational skills as well as attention to detail with the ability to prioritize responsibilities
  • Analytical and problem-solving skills
  • Skilled in Microsoft Office applications
  • Bachelors degree preferred and 3-5 years administrative experience
