This Facilities/administrative role coordinates day-to-day facilities and administrative activities within a local office. Serves as the focal point for receiving guests, visiting associates, vendors, mail, and deliveries. Coordinates externally with the local property manager, in-house or third-party vendors such as catering, janitorial, repair and maintenance, HVAC, electrical specialists, and others, as well as internal office leadership, purchasing, accounts payable, and facilities leadership. Will assume administrative activities that ensure proper process, paperwork and systems are updated and completed. Confirms outside work, such as repairs and maintenance, has been completed satisfactorily. Works toward economy of operation and compliance with laws and regulations. Acts as liaison between local office and security team. Works as part of larger Office and Administrative team within Global Supply Chain group and may be assigned broader supply chain duties. Handles other administrative duties as assigned to assists other departments within the office.
DUTIES AND RESPONSIBILITIES
Liaison between Ensono and local property manager.
Access Control (Management of access badges/visitor log)
Space / Seating Chart management.
Involvement of vendors and Ensono teams to maintain appropriate office atmosphere
Manage facilities vendor relationships.
Assist with planning, setup, and catering for meetings/special events.
Responsible for invoicing/reporting in financial software.
Expense report reconciliation upon request.
Ownership for management reconciliation of purchase cards.
Travel planning assistance for GSC management as needed.
Preventative maintenance / inspection schedules.
Delivery of requested facilities related audit/compliance evidence.
Fully functional and self-directed.
Strong communication skills, including comfort/proficiency with teleconferencing
Proficient computer knowledge.
Experience / working knowledge of MS Outlook, Word, PowerPoint, and Excel.
Highly organized and proven ability to multi-task.
Ability to understand the "big picture" view and adjust work accordingly.
Vendor / Contractor management skills.
Ability to actively listen to gain understanding and clarification
Effective time management skills
Ability to find/recommend needed facility repairs.
Bookkeeping /expense-management experience
