This Facilities/administrative role coordinates day-to-day facilities and administrative activities within a local office. Serves as the focal point for receiving guests, visiting associates, vendors, mail, and deliveries. Coordinates externally with the local property manager, in-house or third-party vendors such as catering, janitorial, repair and maintenance, HVAC, electrical specialists, and others, as well as internal office leadership, purchasing, accounts payable, and facilities leadership. Will assume administrative activities that ensure proper process, paperwork and systems are updated and completed. Confirms outside work, such as repairs and maintenance, has been completed satisfactorily. Works toward economy of operation and compliance with laws and regulations. Acts as liaison between local office and security team. Works as part of larger Office and Administrative team within Global Supply Chain group and may be assigned broader supply chain duties. Handles other administrative duties as assigned to assists other departments within the office.


  • Liaison between Ensono and local property manager.

  • Shipping/Receiving/Mail Delivery.

  • Access Control (Management of access badges/visitor log)

  • Space / Seating Chart management.

  • Involvement of vendors and Ensono teams to maintain appropriate office atmosphere

  • Manage facilities vendor relationships.

  • Assist with planning, setup, and catering for meetings/special events.

  • Responsible for invoicing/reporting in financial software.

  • Expense report reconciliation upon request.

  • Ownership for management reconciliation of purchase cards.

  • Travel planning assistance for GSC management as needed.

  • Preventative maintenance / inspection schedules.

  • Delivery of requested facilities related audit/compliance evidence.



  • Fully functional and self-directed.

  • Strong communication skills, including comfort/proficiency with teleconferencing

  • Proficient computer knowledge.

  • Experience / working knowledge of MS Outlook, Word, PowerPoint, and Excel.

  • Highly organized and proven ability to multi-task.

  • Ability to understand the "big picture" view and adjust work accordingly.

  • Vendor / Contractor management skills.

  • Ability to actively listen to gain understanding and clarification

  • Effective time management skills


  • Notary Public

  • Ability to find/recommend needed facility repairs.

  • Bookkeeping /expense-management experience

VIEW JOBS 9/16/2021 12:00:00 AM 2021-12-15T00:00 STATEMENT OF THE JOB: Under the overall supervision of the Executive Director and the direct supervision of the Office Manager. Responsible for performing receptionist duties and providing clerical support for the agency. ESSENTIAL FUNCTIONS: * Serve as a member of the Administrative Office Management Team in overall coordination and planning for the agencys programs. * Maintain a cooperative and professional attitude with all staff, clients, volunteers and community persons. * Greet all persons who call or visit the agency and assist as needed. Manage the agency phone system including answering all agency calls and processing all voicemails daily. * Responsible for sharing knowledge of current program requirements, local community resources and other information and/or resources to assist clients. * Receive donations and provide receipts to clients as needed. * Perform moderately complex data entry, data management and clerical work (i.e. setting up files, filing, printing/ copying, running reports, shredding.) Pick up, process and distribute agency-wide mail daily, including but not limited to, processing in-coming and out-going mail, overnight shipments and certified mail. * Provide administrative assistance in preparation of documents, events, meetings, reports, presentations, brochures, training materials, filing, service delivery, technology, technology maintenance and other agency projects. * Assist with building maintenance, such as changing and dusting air filters, changing light bulbs, security checks, ensuring lobby remains clean, etc. * Assist with verbal and written translation for the agency if applicable. * Responsible for avoidance or appearance of fraud and assist in ensuring compliance in the overall management of the agency. NON-ESSENTIAL FUNCTIONS: * Respect confidentiality in all aspects of the agency. * Must be willing to participate in all training designed for professional development. * Ability to handle stress, tension and exasperation that contact with adults may bring every day. * May be called upon to administer first aid at any time. The incidental nature of this circumstance effectively establishes first aid as a collateral duty, rather than a primary one. * Perform other job-related duties as necessary for the overall operation of the program. JOB REQUIREMENTS: Educational Requirements: * High school diploma or GED. Experience Requirements: * Minimum of one-year work experience in business, customer service or related field. * Proficient computer skills with minimal errors. * Proficient in Office 2016 or newer version. Physical Requirements: * Must be able to pass tuberculosis screening annually and initial health examination within three months of hire. * Valid drivers license, access to transportation with liability insurance and willing to use vehicle for agency related travel. * Ability to travel out of area overnight to attend training * Ability to hear and communicate orally with children and adults. * Specific vision abilities required by this job include close, distance and peripheral vision, depth perception and ability to adjust focus. * Occasionally lift and/or move up to 50 pounds. Skill Requirements: * Ability to read, write, and perform mathematical calculations. Personal Traits: * Confidentiality in matters related to duties is imperative. Ability to keep confidential information without inappropriately divulging it. * Ability to work closely with co-workers, program staff and the general public. * Ability to work with individuals of different cultural, linguistic and economic backgrounds. * Be in sympathy with the concepts of the agency. * Possess planning and organizational abilities. * Ability to make decisions and work without continual close supervision.
