Office Manager - Dallas, Texas
In this role, you'll oversee daily office operations, including receptionist duties, facility maintenance, managing supplies, coordinating deliveries, and welcoming guests for our Downtown Dallas office. You will be the primary contact for vendors, utilities, and building maintenance, ensuring smooth operations. Additionally, you'll leverage your project management and logistical expertise to support special events, enhance team hospitality, and foster an exceptional office experience for employees and guests alike. This in-office role requires a Monday-to-Friday presence.
Location:Dallas, Texas | Onsite Full Time
Schedule: Monday-Friday 8-5PM
Responsibilities:
- Will initially assist with the coordination of moving into the new office space (coordination of furniture arrivals/placement, office equipment & supplies, café area equipment & supplies, assigning access cards and parking spaces, etc.).
- Responsible for organizing office layout & seating chart as well as maintaining accurate records of personnel locations
- Ongoing responsibility for the purchasing, maintenance, and repair of office supplies and equipment.
- Develops processes and procedures that ensure the efficient and cost-effective running of the office.
- Ensures office is ready to go on a daily basis for team members and guests. This may include distribution of papers and preparation of coffee.
- Provide reception services for the office: answering phones, managing visitor list, and registering and greeting guests in a friendly and efficient manner.
- Perform office duties to include: receiving and distributing mail; coordinating of outgoing USPS, FedEx and UPS shipments and monitoring and maintaining of the office supply and kitchen/lounge inventory.
- Event planning and implementation for the Dallas office
- Serve as point of contact for facilities maintenance and communications with building services
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Requirements:
- Associate or bachelor's degree in business administration, Office Management, or a related field preferred.
- 3+ years of experience in office management, administrative support, or a related role, ideally in a fast-paced, professional environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Demonstrated ability to plan and execute small to medium-scale office events.
- Demonstrated ability to plan and execute office expansions
- Excellent time management skills and the ability to multitask and prioritize work
- Strong attention to detail and ownership of projects
- Strong organizational and planning skills in a fast-paced environment
- Ability to lift and move office supplies or equipment (up to 25 lbs.).
- Ability to be in office M-F 8AM-5PM
