ITAC Solutions is working on an Office Manager / Coordinator opening with a growth-oriented company in Birmingham, AL. This person will be responsible for maintaining office supplies, assisting staff members, and supporting company operations.
What you'll be doing (duties of this position):

Maintaining office efficiency by keeping supplies in stock and fulfilling supply orders when needed
Answering and routing phone calls, as needed
Assisting customers and internal employees
Scanning, coordinating, and maintaining files
Replying to email, telephone, and in-person inquiries
Handling sensitive information in a confidential manner
Assisting with light accounting duties as needed

What you'll need to be considered (requirements):

Minimum of 2 years' experience in an Office Coordinator or relevant role such as Office Manager
Proficiency in Microsoft Office Suite including MS Word, Excel and Outlook
Strong attention to detail
Outstanding written and verbal communication skills
Exceptional customer service orientation for both internal and external customers

What could set you apart from the rest (preferred skills / experience / knowledge):

Proficiency in QuickBooks
Working knowledge of marketing campaigns and other software (i.e., Hootsuite, Podio, Dropbox, etc.)

Learn more at Job Summary Administers and directs the day-to-day accounting functions, computer data management, office operations, provides data on operations, utilities, construction projects, and regulatory compliance. Works under direction of the Director of Facilities, or the Assistant Director of Facilities. Responsibilities: o Plans, organizes and controls functions of computerized programs in maintenance operations, construction, financial management and office/warehouse operation. o Prepare, set-up system and maintain computerized accounting of day-to-day operating costs, including utilities, labor and projects. o Maintains software systems and all other data, hardware software systems related to the departments operation. o Set-up, audit and maintain office, including warehouse, blue print index, manufacturer library, Facilities filing system, and all other maintenance department records. o Audit, research, gather data and prepare reports on costs, quality assurance and day-to-day operations. o Supervise or oversee clerical and administrative staff. Assist the UD with Human Resource related record keeping and compliance for the unit. o Monitors work performance and prepares and/or reviews performance evaluations for assigned personnel. o Assists in hiring, training, orientation and scheduling of employees. o Insures data entry in all systems is up-to-date and accurate. o Works with items of a confidential and sensitive nature. o Responds to emergencies at the facility as directed. o Submits ideas on continuous quality improvement. o Takes minutes and participates in committees as required. o Interacts with the client and hospital administration as needed to resolve problems and build excellent client relations. Qualifications: o College Degree in Business, Accounting or Engineering preferred, combined with 2 to 3 years' experience in related field. o Minimum of 3-5 years demonstrated success with duties and responsibility similar to the outline above. o Healthcare and/or facilities experience preferred. o Effective written & verbal commutation skills. o Proficiency in all Microsoft applications. o Commitment to being involved in team oriented management, with the ability to work independently and thrive in a dynamic office environment. o Excellent customer service and people skills complemented with strong, creative problem-solving skills. o Experience in working with outside vendors.
