Administrative & ClericalThis position is accountable for coordinating administrative and operational support for the Greensboro Acute Rehab Programs located at Moses Cone, Wesley Long and Women's & Children Center campuses. This includes providing direct support for 3 supervisors and for the Executive Director of rehab services. Requires strong organizational skills in order to multi-task and prioritize duties, professionalism and effective customer service when interacting with leaders in the organization, as well as other internal and external customers. Serves as a key resource for scheduling and billing as well as coordinating meetings and technology within our department. The schedule for this position is Monday
Friday, 8am
3:45pm. (total of 36 hour per week)
Responsibilities
Demonstrates exceptional customer service skills to both internal and external customers, individually and as part of the Acute Rehab team by phone, electronically and in person. This includes scheduling patients for Speech and Audiology services.
With a focus on increasing efficiency and customer service, assesses and identifies needs for dept operational workflow improvements, implements improvements and/or organizes other team members to be able to execute upon improvements. Creates processes to build and drive operational infrastructure with little to limited direction.
Provides accurate data entry and analysis, file maintenance, creates reports, as necessary for Executive director, Acute Rehab depts and Acute Rehab leadership.
Financial: Assists with budget management and manages financial reconciliation for MC/WL/WH Acute rehab dept. Performs billing, manages billing work queues, orders supplies, manages accounts payable requests, etc.
Manages Outlook calendar, scheduling meetings and prioritizing conflicts for the Executive Director of Rehab as well as Acute Rehab leadership.
Manages and provides on-site support during events and meetings which may include, but not limited to, support for the facility, AV and catering set up, material delivery and set-up, participant check-in, speaker and customer support throughout the event and minutes.
Facilitates necessary reports and follows up in accordance with regulatory bodies, Cone Health standards and with NC licensing agencies, including verifying staff licensure, CPR and HLC completion. Ensures department meets policy and procedure requirements. Ensures student contracts are current for all schools sending PT, OT, SLP, Audiology and TR students within Cone Health.
Leadership: motivates and supervises Support Rep II position, and Rehab technicians performing front office tasks. Provides positive and constructive feedback on task performance and resolves conflict with effective verbal and listening communication skills.
Qualifications
EDUCATION:Required: High School diploma or equivalent
Preferred: Bachelor's degree
EXPERIENCE:
Required: 3-5 years of administrative support experience in a professional business environment. Experience in data entry, date analysis, chart review and coordination.
Preferred: Advanced skill in utilization of Microsoft office products and Share point administration.
