The Office Manager will play a pivotal role in the day-to-day operations of the leadership team by ensuring the smooth and efficient functioning of our headquarters. As the first point of contact for families, staff, stakeholders, vendors, and visitors, the Office Manager will embody the ITAV values and create a welcoming environment. The Office Manager will report directly to the Vice President of Operations and will provide support on a variety of special projects from the entire leadership team, so strong communication and collaboration skills are essential.
This role will also support all areas of operations, including Facilities, IT, Food Program, and HR, to help meet the organizations goals and ensure seamless service across departments. Essential Duties and Responsibilities: Cultivate a welcoming environment, oversee day-to-day office activities, and act as the main point of contact for visitors, stakeholders, vendors, etc.
Assist the ITAV Leadership Team (HR, Operations, Facilities, Programs, etc.) with coordinating logistics, room reservations, catering, audiovisual setup, special projects, and annual events. Provide administrative support as needed, including scheduling appointments, preparing documents, organizing files, and preparing conference rooms. Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
Proactively contribute to office efficiency by implementing preventive measures for potential issues Why Join Us? Full-Time Salary: $50,000 - $60,000 Required Education and Experience: Bachelor's Degree or equivalent 3 years of office management experience required Proven experience as an Office manager, Executive Assistant, or Administrative assistant Who You Are: You have strong customer service skills and are able to think quickly and creatively to solve problems.
You have excellent leadership and communication skills that translate to all audiences including staff members, parents, and vendors. You are a strategic thinker with a proven track record in enhancing internal systems and protocols. You have strong organizational and problem-solving skills and can manage multiple priorities and deadlines effectively.
