EMPLOYEE OWNER POSITION PURPOSE: The Office Manager holds a dual role. Primarily this position is responsible for all aspects of communication from the Association to the Homeowners/Membership.

The secondary role is to oversee the front desk staff, ensuring that all policies and procedures are followed and that the front desk is staffed appropriately during business hours. This role provides exceptional customer service and quality communications to both internal and external clients, including, but not limited to: on-site collateral, social media monitoring and postings, information dissemination via email and/or mail, and newsletter creation and distribution. JOB DUTIES AND RESPONSIBILITIES:

Communications:

Monitor all social media accounts for feedback, comments, questions, etc. Maintain all community social media accounts with a minimum of 3 relevant and unique postings per week Work closely with the lifestyle team to ensure timely, appropriate and aesthetic notifications of events and activities. Maintain and update all reader boards on a regular weekly basis.

Maintain adherence to all association branding practices Together with the AGM and GM, identify and develop materials for internal use such as operations manuals, policies and procedures. Stay informed of local area events and happenings Engage with homeowners Other duties and special projects as assigned Front Desk Supervisor: Provide support to all front desk associates/receptionist.

Ensure coverage of the Front desk at all times during regular business hours. Ensure the reception team reflects our high standards of customer service Engage with homeowners Coordinate and monitor responses to homeowner feedback and inquiries Anticipate the needs of homeowners Maintain well-written and professional communication with internal and external customers Develop meaningful relationships with all levels of staff Partner with the General Manager to update and disseminate Association policies & procedures Support homeowner engagement Other duties and special projects as assigned QUALIFICATIONS: High School Diploma (or equivalent); Associate's Degree preferred Ability to be intuitive and pro-active Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus Solid knowledge of Adobe Creative Suite a plus Proven track record of effective graphic design Ability to meet deadlines and address time-sensitive issues Superior multi-tasking skills Excellent written and verbal communication Must be a team player Ability to manage workflow amid shifting priorities Willing to learn Company processes and procedures, and learn/use proprietary software Adaptable and dependable with a solid attendance record Professional and respectful demeanor with all internal and external customers at all times Work independently, with little direction, and as part of a team Ability to exercise considerable judgment, maintain confidentiality, and act with diplomacy and tact at all times SPECIAL POSITION REQUIREMENTS:

Must have and maintain a valid driver's license, vehicle insurance, and driving record in compliance with Company policy ESSENTIAL FUNCTIONS: Use standard office equipment, including: computer, phone, copier/scanner, etc. Be stationary for periods of time Relocate up to (25) pounds Travel to and from offsite locations SUPERVISES OTHERS?
