This position will be based in downtown San Diego at the Energy Center San Diego Chiller Plant. Basic responsibilities will be to provide all office management functions for the EC San Diego and EC Tucson O&M operations as outlined below.

This person and the Phoenix based office manager will be required to cross-train on office management operations for all Arizona and San Diego operations and be capable of covering for the other office manager when necessary.

The position will report to the West Region General Manager.

Job Responsibilities

Human Resources and Payroll

  • Timesheet and PTO entry/Reconciliation to payroll database

  • Employee onboarding and I-9 processing testing of potential job

  • Address payroll issues and requests for employees

Accounts Receivable

  • Process customer invoices monthly

  • Verify cash application

  • Manage credit and collections

Accounts Payable

  • Investigate and respond to vendors regarding invoice payments

  • Forward PO invoices received to A/P

  • Code all Non PO Invoices and forward to A/P

  • Match invoices/packing slips to purchase orders

  • Respond to vendor questions and requests

  • Work with employees to ensure goods receipts are entered and are being processed

  • Track invoices to ensure payment has been made

  • Monitor and respond to accounting database inbox requests from payables

  • Review shipping invoices

  • Actively participate in weekly team calls

Marketing and Customer Support

  • Handle all customer service calls and route if needed

  • Periodic meet and greets with customers

  • Support Marketing personnel with events, as needed

  • Participate in the on-boarding process of a new customer in conjuction with the marketing group

General Accounting

  • Process franchise fees, city taxes, permits, sales taxes and license fees

  • Process end-of-month support by reconciling Accounts Receivable sub-ledgers including cash postings and revenue accruals

  • Respond to data requests from corporate accounting

  • Answer SOX requests for invoicing and purchasing


  • Coordinate needs between employees and uniform provider

  • Verify service vendor' qualifications (insurance and safety) are current in Adaptone (procurement prequalification database)

  • Process purchase orders and send to supplier for signature

  • Work with multiple suppliers to determine best pricing and availability for parts

  • Manage payment terms

  • Negotiate terms and conditions if needed with assistance from corporate procurement, legal and insurance

  • Coordinate and send RFQ's( Is this really applicable??) not at this time for San Diego(rk)

  • Maintain vendor Adaptone qualifications (safety and insurance expiration emails are automated from the system to the buyer and the vendor) via correspondence and/or follow up.

  • Actively participate in weekly Thermal conference calls and monthly Supply chain calls

  • Track and report cost savings and scrap sales


  • Maintain vehicle information and maintenance log for on and off-road vehicles

  • As applicable schedule annual preventative maintenance of facility vehicles

General Office Duties:

Answer telephones, process daily mail, order/maintain office supplies, filing, process and receive UPS/Fed Ex shipments, handle minor repairs/maintenance for office equipment, issue forms for safety shoes and safety glasses to employees

Miscellaneous/Customer Service

  • Coordinate plant activities/volunteering

  • Other duties as assigned


  • Bachelor's degree from an accredited college or university or equivalent work experience
  • 5+ years of work experience as an office manager- experience in serving several operations locations preferred

Additional Knowledge, Skills and Abilities

  • Demonstrable ability to network, communicate and build relationships internally and externally for both customers and suppliers

  • Have an entrepreneurial spirit and flexibility to work in fast-paced, environment with "hands-on" team player approach

  • Ability to coordinate with others from across the organization and outside of formal lines of authority

  • Results oriented, with ability to work with minimum supervision in order to coordinate and facilitate activities across groups

  • Superior listening and written and verbal presentation skills

  • Have experience in delivering client-focused solutions to customer needs

  • High integrity, energy and enthusiasm

  • Superior knowledge of leading computer tools including Excel, Word, PowerPoint and Customer Relationship Management (CRM) software

Working Conditions

  • Normal office environment

  • Limited overnight travel

  • Some overtime required as special projects arise

  • Must be capable of attending out of the office meetings at different in town and occasionally out of town locations

  • Occasionally requires lifting as appropriate to perform duties and responsibilities
