We are looking for a dynamic and organized Office Manager to join our People Operations team! As the Office Manager, you will play a pivotal role in ensuring the efficient operation of administrative and office support functions within our Oakland lab. You will be responsible for managing office procedures, maintaining supplies and equipment, overseeing contracted staff, and providing support to various departments. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
This is an onsite position with the expectation of being onsite 5 days a week. This person will report to our Internal Operations lead. If you are passionate about the climate, consider yourself highly organized, and are a people-oriented individual, learn more about the role below.
Position Overview
Greet and welcome guests as they arrive at the lab and ensure guests are connected to the correct team member
Own the day-to-day management of the lab, ensuring supplies are replenished and conference rooms are functional. This includes, but is not limited to, kitchen supplies, snacks, beverages, computer supplies, and cleaning supplies
Oversee the maintenance of office facilities, coordinating repairs and maintenance, and ensuring a clean and organized workspace
Responsible for ordering team lunches on Friday, as well as ordering food for one-off team events
Supervise contracted staff (cleaning, security, and IT), coordinating schedules, and providing guidance, training, and support as needed
Monitor the security system and be the first point of contact when incidents arise at the lab
Serve as the primary point of contact for building management and vendors
Monitor and support internal requests from the team related to ordering supplies and shipping and receiving packages
Manage and sort mail
Manage internal accounts, including AT&T, Slack, Gmail, Navan, Uber, Lyft, Waste Management, etc.
Foster a positive and collaborative work environment, promoting teamwork and effective communication
Support the People Operations team with planning and coordination of team events, both virtual and in-person
Assist the People Operations team with onboarding and off-boarding team members and vendors
What you'll bring
Excellent written and verbal communication and interpersonal skills, with a customer service-oriented approach
3 plus years of experience in office management or an administrative support role, preferably in a laboratory or scientific environment
Strong organizational skills with the ability to multitask and prioritize effectively
Strong attention to detail and problem-solving skills
Collaborative, positive, and friendly demeanor
Ability to maintain confidentiality and handle sensitive information with discretion
Salary Range for this role is $80,000 - $95,000.
