The Office Manager Branch Accountant is responsible for managing and coordinating daily general office operations , overseeing financial transactions within the local branch office, and supervision of department productivity and personnel.

Responsibilities:

  • Supervise the daily operation of general office staff including hiring, performance management, coaching, counseling, monitoring, and evaluating performance.

  • Oversee the collection and application of customer payments and financing.

  • Monitor and delegate action items in support of the department's KPIs (key performance indicators), such as Aged Open Orders and Open Balances.

  • Contact customers for collections and/or non-sufficient funds checks, and confer with Sales regarding any delinquent accounts.

  • Audit and monitor the collection and record-keeping of important documents such as contracts and certifications of completion.

  • Serve as the primary point of contact and liaison for office staff and Market Support on day-to-day operational and administrative issues.

  • Process and submit bi-weekly payroll (input appropriate hours, PTO, Misc., or Holidays).

  • Review the payroll system daily to collect and record missed punches.

  • Coordinate, order, and oversee the management of supplies and equipment for the office.

  • Maintain conference and training room schedules.

  • Initiate and deliver cross-training for all general office associates.

  • Compose and prepare written documentation and correspondence for the office.

  • Ensure work procedures and standards to improve the efficiency and effectiveness of the department are being met.

  • Prepare open orders for load out. Present during morning load out to assist installers with paperwork.

  • Audit and close jobs.

  • Review and complete Service Request Orders.

  • Attend all meetings as scheduled or required.

  • Management of Customer Service duties where applicable, dependent on market size.

  • All other duties assigned or as required.

Qualifications:

  • Bachelor's degree in accounting or related field preferred.

  • 3+ years of office management or accounting experience or related and/or training or equivalent combination of education and experience.

  • Collections and customer service experience a plus.

  • Computer proficiency (MS Word, Excel, and Outlook).

  • Excellent oral and written communication skills.

  • Exceptional time management.

  • Ability to lead and develop others; detail-oriented; manage multiple tasks; set priorities and meet deadlines.

  • Working knowledge of Dynamics 365 a plus.

  • The ability to report to work on a regular basis.

  • The position may require regular evening and weekend work, shift work or working with challenging clients.

  • A majority of time (i.e., 65%) is spent working on a computer which requires using a keyboard to enter data, send, and respond to emails, and/or looking up information.

  • The ability to reach with hands and arms to frequently lift and/or move packages up to 25 pounds; ability to walk, bend, stoop or move throughout the office to locate files.

  • The ability to perform the essential functions of the position physically and mentally, with or without reasonable accommodation.

  • This position is located in an office/cubicle/warehouse setting and the noise level in the work environment is usually moderate.
