The Office Manager will be experienced, proactive, and able to demonstrate exceptional planning and organizational skills and is able to work in a flexible, fast-paced environment. This position is responsible for ensuring that office operations and facilities run smoothly at all times.

Location: New York City

Essential Requirements:

  • Experience in an Office Management or Administrative Assistant role

Skills:

  • Proficiency in managing and maintaining physical office spaces.

  • Excellent organizational skills to manage a range of administrative tasks.

  • Exceptional in providing high-level support to senior executives, including calendar management, travel arrangements, and the handling of confidential information with the utmost discretion.

  • Outstanding written and verbal communication skills.

Job Duties:

  • Oversee the handling of facilities, including access control systems, maintenance and repair works, compliance with health and safety protocols, coordination of office moves, and the organization of office layout.

  • Coordinate with vendors to guarantee the delivery of services and negotiate contract terms.

  • Oversee the operation of the kitchen pantry, cleaning, plant care, mail handling, meeting spaces, internal communications, and additional administrative duties, ensuring efficiency and effectiveness in all areas.

  • Administer the company's internal communication channels, ensuring consistent and clear dissemination of updates, policies, and information.

  • Assist in planning and executing company events, such as team retreats, holiday parties, and office events.

  • Provide support to senior executives, including managing calendars, scheduling appointments, and coordinating executive meetings and travel.

  • Handle confidential documents and communications with discretion, ensuring sensitive information is securely managed.

Annual base salary range of $50,000 to $100,000. Pay (base and bonus) may vary depending on job-related skills and experience. A sign-on and discretionary performance bonus may be provided as part of the total compensation package, in addition to company-paid medical and/or other benefits.
