The Office Manager will be responsible for the day-to-day management of office operations in Bessemer's Woodbridge, New Jersey location. Success in this role requires exceptional customer service, organizational and interpersonal skills. Candidate must have integrity and good judgment in handling sensitive and confidential matters. Excellent attention to detail and timely execution of responsibilities is required.

Primary Responsibilities:

  • Manage office services operations for Bessemer's Woodbridge, NJ location with a population of over 500 employees and consultants.

  • Lead café, catering and pantry operations managed by onsite food services vendor, manage budget and evaluate KPI's.

  • Establish and maintain relationships with senior leadership, and department managers to support firm-wide initiatives.

  • Maintain working relationship with property management and onsite facilities manager for day-to-day operations (e.g., moves and restacks).

  • Develop, implement, and maintain office procedures and protocols to continue to elevate levels of service.

  • Oversee and approve the purchase of office supplies, manage inventory and maintain budgets.

  • Partner with HR, IT and hiring managers to assist with onboarding employees which may include space planning, access card programming, employee photos and office tours.

  • Lead or assist with the planning and execution of special events.

  • Collaborate with mailroom manager on the day-to-day fulfillment of mailroom and messenger services.

  • Report and resolve issues and provide on-site support after-hours when needed.

  • Prepare and issue approved office communications.

  • Ad hoc projects, as assigned.

Qualifications:

  • Bachelor's Degree required.

  • 10+ years office management experience with a highly professional organization, law firm or financial services firm, a plus.

  • Experience in office operations, staff management, space planning, vendor management and event planning.

  • High proficiency in Microsoft Office Suite.

  • Excellent interpersonal, written and verbal communication skills.

  • Excellent time management skills and the ability to meet deadlines with efficiency and accuracy.

  • Flexibility to work evenings and/or weekends when required.
