What We Are Looking For
The Office Manager is an administrative position that supports the Department of Communication Sciences and Disorders at Baylor University. The ideal candidate will have strong organizational, writing, priority, and time management skills.
An Associate's Degree, three years of relevant work experience, and an active Christian faith are required. A Bachelor's Degree and five years of relevant work experience is preferred.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
Act as the procurement manager for residential academic and clinical offices, academic and clinical faculty, and residential research faculty
Act as the procurement manager for online faculty and staff
Oversee technology needs, including procurement, replacement, set-up, and distribution needs for 35 full time faculty members and 15 staff members (online and residential)
Maintain accurate spending reports in conjunction with the Chair and Financial Manager
Provide budget reports and assistance as requested for variety of funding sources to departmental leadership and research faculty
Act as a budgeting liaison for student support specialists and departmental leadership
Act as the departmental liaison with financial managers
Oversee adjunct pay for 20-25 online faculty members
Oversee student employment processes, including hiring, scheduling, and Ignite approval for hours works for undergraduate student employees
Oversee student financial disbursement processes
Maintain faculty communication lists, hiring processing, and supplementary paperwork for residential, online, and undergraduate program faculty
Manage day-to-day operations of the office
Develop, implement, and adhere to office policies and procedures
Serve as a reference on interpretation or clarification of procedures and processes
Collaborate with department staff on management and planning of events such as faculty meetings, graduation celebrations, and undergraduate and graduate retention events; occasional after hours participation is required
Develop and maintain working knowledge of applicable University tools and systems
Assist and manage special projects and initiatives
Maintain confidential, purchasing, personnel, and department records
Maintain, complete, and organize data entry
Maintain confidentiality of records and other pertinent information
Interface with students, faculty, administration, and visitors to support Baylor's mission
Ability to comply with University policies
Maintain regular and punctual attendance
Perform all other duties as assigned to support Baylor's mission
