APCO has an immediate opening for an Office Manager in our downtown Raleigh office. This position will be an integral partner to the office, the managing director and the deputy managing director by supporting day-to-day activities as outlined below.

Responsibilities

  • Cover reception and telephones from 8:30 am
  • 5.00 pm (excluding a one-hour break from noon

  • 1.00 pm)

  • Support APCO-sponsored/hosted event planning and logistics, including supporting in-person. Sometimes events will be after hours or at other locations.

  • Support in client/new business logistics and management, including contact database.

  • Daily monitoring of the conference room calendars (scheduling, set-up and video calling assistance, etc.).

  • Register and coordinate food/beverages for guests/client meetings.

  • Process travel itineraries, as needed.

  • Purchase and stock office supplies, snacks and other items as needed.

  • Oversee vendor management (including research and selection) as well as office equipment, maintenance, troubleshooting and contracts.

  • Manage all-office financial items such as sending expense reports to corporate, filling out corporate credit card forms, processing invoices, etc.

  • Keep office information current and accessible, including business licenses and permits, as well as onboarding materials for new hires.

  • Maintain various public areas of the office so they are neat, professional and free of hazards.

  • Manage building information and requests (i.e. notices, temperature, vendor COI's, etc.)

  • Other duties to include: mail distribution (UPS/FedEx set up, messenger services) and managing staff itineraries.

Qualifications

  • High school diploma, bachelor's degree preferred.

  • At least 2 years of successfully providing a high level of administrative support in a fast-paced deadline-driven environment.

  • Ability to interact closely with clients, staff and others with a high level of professionalism

  • Excellent Microsoft Office Suite skills required (i.e. Word, Excel, PowerPoint, etc.)

  • Experience facilitating and supporting virtual events using Teams/Zoom room systems or similar.

  • A passion for learning and applying new technologies in the workplace.

  • The successful candidate will work when required with APCO's IT team to assist with hands-and-eyes support for the Raleigh office.

  • Excellent communication and analytical skills.

  • Willingness to analyze administrative processes and suggest improvements or efficiencies.

  • Ability to multi-task and be a proactive communicator.

  • Experience working in a PR agency or other professional services environment a plus.
