As the office manager you are at the organizational heart of the office and do whatever you can to make sure the workplace runs efficiently and all employees have what they need to do their jobs successfully.

This candidate should be sharp and resourceful, as well as have a natural talent for supporting executives.

Responsibilities will include:

  • Oversee general office operation

  • Reception, greet visitors

  • Direct visitors, give instructions or escort guests to their destination

  • Maintain security by following procedures; monitor logbook and issue visitor badges

  • Mail distribution and package distribution daily

  • Restocking kitchens and pantries on multiple floors

  • Daily overall maintenance and organization of the office and supply rooms

  • Maintain the office seating charts and prepare seating for new hires

  • Purchase supplies, maintain vendor relationships

  • Occasional space planning / lift and shift

  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations

  • Managing C-Level calendars and email correspondence

Attributes to success:

  • Ability & agility to multitask - you may be asked to do several things and need to change plans mid day

  • An enjoyment in taking care of an office space and the great people in it

  • Great communication skills - you'll be talking and emailing with candidates, vendors & everyone who works with Devoted

  • You feel accountable for the work you're responsible for

  • A calming presence - sometimes the days are 'hair on fire' and you'll be the person people turn to for support

Desired skills and experience:

  • 1-3 years of office experience

  • Moderate proficiency in computer programs (Google Suite a plus)

  • Friendly professional manner - you will be the face of Devoted

  • Problem solving skills - it's your voice that will make things better

  • A history of being organized and having high attention to detail - it's the little things that matter

POSITION SUMMARY: TIAA seeks an Administrative Assistant professional to join our team. Primary responsibilities include supporting up to 12 associates within the business area of TIAA's Institutional Retirement – Northeast segment team performing administration and operational day to day duties, specifically supporting Relationship Managers and Client Services Managers. All tasks, responsibilities and assignments must be completed with the highest level of quality following regulatory procedures (FINRA). Candidates will be working closely with both internal and external clients, so teamwork is a must. The ideal candidate should have an exceptional level of customer service and problem solving skills, the ability to manage change and excellent communication skills. KEY RESPONSIBILITIES AND DUTIES: * As the voice of TIAA, answer phones and route calls; provide general information to clients; refer questions and issues to appropriate staff or department for further information and problem resolution * Ability to navigate an organization, partner and collaborate with team colleagues * As an Associated Person, maintain various files, logs and tracking systems in accordance with FINRA regulations * Ability to prioritize competing priorities in dynamic work environment; as well as detailed oriented with strong tactical skill set * Ability to take on extra business related project assignments as appropriate * Create internal/external correspondence using Microsoft Office products (Excel, PowerPoint, Word, etc.), as well as create correspondence and/or log activities in client management system (Siebel) * Compile client data and research * May communicate with institutional administrators and act as liaison with consultants * Make routine travel arrangements and complete expense reports * Schedule and set-up internal meetings/conference calls/catering as required * May act as liaison for office facilities and maintenance issues * May act as liaison for vendors and ensure payment of office-related invoices * Assist teammates; cover other duties during vacations QUALIFICATIONS: Required Qualifications: * High school diploma * 1 plus years related experience in an administrative role * Experience providing administration support to approximately 7 to 10 professionals * Proficiency in MS Office (i.e., Outlook, Word and Excel), Relational Databases, Travel & Expense systems Desired Qualifications: * Minimum of 3 years of experience within the financial services industry * Able to multi-task and produce in a fast paced, team environment * Strong interpersonal and customer service skills * Organized, detail oriented and follows-through * Desire to commence and grow career within a diversified financial services company * Experience/proficiency in Siebel / Salesforce (customer relational database) a plus * Ability to interpret financial data and terminology a plus Location: Waltham, MA Equal Employment Opportunity is not just the law, it's our commitment.
