Serve as first point of contact for guests, visitors, and friends of WBGL and process office tasks to help maintain smooth and efficient operations, as well as coordinating volunteers to complement and enhance the ministry of WBGL and contribute to accomplishing the mission and vision of Northwestern Media.

What will I do in this position?

Essential job responsibilities include, but are not limited to:

  • Answer phones, review station voice mailbox and e-mail accounts, respond to general questions or direct appropriately. In absence of on-air personality, field request line calls. Receive, sort and process mail daily and print jobs. Collect listener comments received through mail and forward to staff accordingly. Greet guests and visitors; schedule and conduct (or assign) station tours.

  • Process Purchase Order invoices and manage station petty cash box and checking account.

  • Maintain inventory, order and stock office supplies for staff and Station supply closet. Gather information and submit year end reports for inventory.

  • Oversee usage and maintenance of office machines (fax, network printers, and postage), including monthly usage reports and scheduling maintenance as needed.

  • Serve as point person for building rentals, coordinating contracts, details, and communication needed to staff.

  • Coordinate with Engagement Director to monitor giveaways and compiling information needed for Accounting.

  • Take notes at weekly staff meetings and distribute in a timely manner.

  • Assist in hosting volunteers, hospitality, and reporting during fundraisers.

  • Assist in writing Station Manager correspondence as requested.

  • Recruit, process applications, and train volunteers; assigning volunteers to various tasks and events as needed and maintain volunteer database.

  • Regularly communicate with volunteers, focusing on building relationships and communicating event details and schedules and send thank you notes to volunteers following each event.

  • Lead phone room efforts during fundraisers and coordinate challenges with Operations Manager.

  • Conduct volunteer surveys through Blackbaud after fundraisers and periodically to keep database current.

  • Maintain volunteer section of website, refreshing it periodically.

  • Secure and distribute gifts for fundraiser volunteers and general ongoing volunteer recognition as appropriate.

What will it take to succeed in this position?

Minimum Education and Experience:

  • High School diploma or GED equivalent required

  • Minimum of two years office support experience preferred

  • Previous supervisory experience preferred

  • Continually nurture a personal relationship with Jesus Christ; serve as a consistent witness for Jesus Christ; maintain a kind, Christ-like attitude in dealing with and ministering to people within and outside of Northwestern; and faithfully uphold and embrace Northwestern's mission, doctrinal statement, and Declaration of Christian Community

Knowledge, Skills, and Abilities:

  • Excellent interpersonal skills with ability to interact with a variety of individuals in a professional, kind, and tactful manner

  • Ability to work in both a team environment and independently, without close supervision

  • Ability to maintain confidential information

  • Strong time management, organizational, and problem-solving skills

  • Detail oriented with ability to prioritize projects and complete tasks accurately within deadlines

  • Basic to intermediate computer proficiency

  • Exemplary grammar, editing, and proofreading skills

  • Excellent written and verbal communication skills

  • Ability to work occasional evenings and weekends as needed

  • Ability to pass a background check upon hire and periodically throughout the course of employment
