The Office Coordinator provides comprehensive administrative support to the Executive Director in managing the operations of three units including the Office of Cultural Engagement for the Hispanic Community (OCE), La Casita Cultural Center, and Punto de Contacto/Point of Contact (POC). This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a dynamic and culturally diverse environment. The Office Coordinator duties include general administrative tasks: organizing calendars, schedules, meetings, handling internal communications, compliance with policies and procedures, also supporting programs and initiatives that promote co-curricular development and student engagement, and the production of cultural events and community-based programs.

Qualifications

  • Bachelor's or Associate degree or equivalent experience in office administration, management, or a related field.

  • Minimum of 1-2 years of administrative experience, preferably in a non-profit, cultural, or educational setting.

Job Specific Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management and social media platforms.

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Excellent written and verbal communication skills, with attention to detail.

  • Ability to work independently and collaboratively in a multicultural environment.

  • Fluency in Spanish is highly desirable.

  • Familiarity with non-profit, cultural, or educational settings is preferred, as it will enhance the candidate's capacity to contribute to the organization's mission of fostering diverse and inclusive community engagement initiatives. The candidate should also have a strong commitment to the values of diversity, equity, and inclusion.

Responsibilities

Communications:

  • Maintain/update websites and social media platforms for La Casita, and POC.

  • Assist in the creation and distribution of newsletters, flyers, and other promotional materials.

Administrative Support:

  • Manage calendars, schedule meetings, and coordinate travel arrangements for visiting artists, guest speakers, etc.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Maintain accurate and organized records, files, and databases.

  • Handle incoming calls, emails, and inquiries, directing them to appropriate staff as needed.

Event Coordination:

  • Assist in planning, organizing, and executing events, workshops, and cultural programs hosted by OCE, La Casita, and POC.

  • Coordinate logistics, including venue arrangements, catering, transportation, and promotional materials.

  • Support event registration, attendance tracking, and post-event evaluations.

Office Management:

  • Oversee the day-to-day operations of the office including the ordering of office supplies, equipment, and materials.

  • Coordinate maintenance and repair services for office facilities and equipment including IT services.
