Performs office coordination duties, EMR reporting functions, receptionist duties, administrative and follow-up functions to assist in the operation of a Neurology office. Assists practice Administrator by overseeing other medical Receptionist and Medical Assistant staff functioning in the MR role as part and parcel of their job description..

  • Attends departmental meetings.

  • Actively participates as a team member in resolution of problems as they are identified.

  • Analyzes current procedures, bringing suggestions for improvement to the attention of team members and supervisor for consideration.

  • Maintains and communicates appropriately a multi-physician appointment calendar in paper form, computer form, email form and any other appropriate communicative avenue. Establishes priorities for patient appointments, consults, and various physician meetings and responsibilities.

  • Maintains clerical staff schedules.

  • Serves as liaison with practice administrator for issues among clerical staff.

  • Implements and monitors procedures to improve front office operation, in coordination with practice administrator and clinical coordinator.

  • Actively participates in maintaining and/or improving quality improvement initiatives regarding Physician Billing computer system and patient satisfaction survey.

  • Maintains high level of competence in Physician Billing computer system.

  • Greets patients, generates appropriate intake forms, ensures patient completion of forms, collects and verifies patient's insurance information, medical information, and demographic information for completeness of appointment.

  • Answers telephone within three rings, takes messages, and screens calls. Prioritizes calls and coordinates service with the answering service.

  • Schedules patient appointments to include intake information, obtains pertinent information regarding patient's diagnosis, previous history, diagnostic tests, medical reports for office appointment.

  • Schedules procedures and testing with appropriate resources and coordinates needed resources, as necessary.

  • Maintains familiarity with various types of medical insurance plans with which the practice participates.

  • responsible for training of new staff and for training existing staff in regards to upgrades and updates.

  • Travels with own transportation, as needed, to satellite offices for clinical office hours.

  • Coordinates servicing of office equipment and ordering of office supplies.

  • Prepares miscellaneous reports as requested.

  • Opens/closes office as required.

  • Coordinates as necessary with billing office.

  • Works with physicians to create efficient office operations.

  • Takes active role in facilitation team approach to functions within the department:

  • Maintains patient and physician office schedules.

  • Types, files and distributes correspondence as directed.

  • Collects and process payments at time of service.

  • Coordinates as necessary with billing office.

  • Familiar with policies of various insurance companies.

  • Greets patients and visitors. Control patient flow.

  • Receives, sorts and sends mail as needed.

  • Verifies patient demographic information and accurately enters same into computer system.

  • Follows policies and procedures to contribute to the efficiency of the office.

  • Maintains confidentiality of all materials handled within the Network/Entity as well as the proper release of information.

  • Complies with Network and departmental policies regarding issues of employee, patient and environmental safety and follows appropriate reporting requirements.

  • Demonstrates/models the Network's Service Excellence Standards of Performance in interactions with all customers (internal and external).

  • Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process, and Safety.

  • Demonstrates financial responsibility and accountability through the effective and efficient use of resources in daily procedures, processes and practices.

  • Complies with Network and departmental policies regarding attendance and dress code.

  • Demonstrates competency in the assessment, range of treatment, knowledge of growth and development and communication appropriate to the age of the patient treated.


  • Assist "back staff" as needed.

  • Other related duties as assigned.
