This is an 8 hour, 260 day position with benefits at the District Support Services Center. Work hours are from 8:00 a.m. to 5:00 p.m.

JOB TITLE: Office Coordinator, Maintenance & Grounds

CLASSIFICATION: Office/Accounting MACP

REPORTS TO: Director of Facilities

JOB SUMMARY:

Responsible for providing a variety of clerical and other support services to assist the Supervisor of Maintenance and Grounds and the Director of Facilities with the operations of the Maintenance Department and related services. This position also provides backup administrative assistant support for the Custodial Department and serve as liaison between staff and the general public by responding to general questions and referring them to appropriate staff and service providers.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Provide administrative support services to the Supervisor of Maintenance and Grounds and Director of Facilities including letter composition, scheduling of appointments, analysis of information, maintenance of databases, preparation of confidential evaluations, and preparation of district reports and presentation materials.

  • Develop and maintain an organized office including record management, an effective filing system and provide for record maintenance and retention management in compliance with district policy and state guidelines.

  • Serve as liaison between staff, parents, and the general public wishing to communicate with District support staff.

  • Greet public; answer phones; respond to inquiries from students, parents, staff and general public; assist with student and staff needs.

  • Monitor the electronic work order system and assign the activities of trade staff by forwarding requests for facility maintenance to appropriate personnel.

  • Assist with tracking incoming work orders and scheduling contractors as needed for maintenance and preventative maintenance across the district. Coordinate and schedule preventative maintenance work orders with vendors and contractors for essential and required services.

  • Create purchase orders and process and track invoices and packing slips for the Facilities Department. Process and reconcile billing for procurement cards for Facilities Department purchases. Prepare financial reports on a monthly and as needed basis.

  • Monitor District Support Services purchasing procedures and processes, answering questions related to purchasing regulations and procedures, serve as liaison with vendors, maintain vendor information and files, organize and maintain the retention of purchasing records.

  • Monitor and reconcile Facilities Department checking account, write checks as necessary.

  • Assist with Resource Conservation Management tasks, including tracking and analyzing utility bills.

  • Process department mail;; assist with quote gathering and bid processing, educational and plan specifications; record keeping; cost comparisons; boundary planning; preparation of support staff reports.

  • Monitor and assist with the oversight of various operating budgets and maintain legal compliance using the District electronic fiscal records system

  • Prioritize and organize tasks for the purpose of meeting deadlines, accessibility of information, and completing tasks in a timely manner.

  • Serve as backup to the Office Coordinator for the Custodial Department, including assisting with obtaining Custodial substitute personnel as necessary.

  • Comply with District Policies.

  • Maintain acceptable job attendance.

EDUCATION AND EXPERIENCE:

  • High school diploma or its equivalent.

  • Word process with accuracy at 40 w.p.m.

  • Five (5) years of applicable office or clerical experience, including office management (preferably in a public school setting.) Vocational or technical clerical training may substitute for work experience.

PREFERRED EDUCATION AND EXPERIENCE:

  • College degree and/or additional training beyond high school.

  • Previous school district experience.

  • Two year degree or college level work in Business, Accounting or related field.

  • Experience with computerized financial and/or purchasing system.

This includes assisting with maintaining building systems and immediately reporting problems to their immediate supervisor and applicable location leadership. Incumbent works with minimal on-site supervision, applying solid work experience in this area. Position is F/T, 37.5 hours per week. Pay is $17.25 - $18.11/hr. DOE, plus excellent holiday / vacation / sick pay and health benefits! For internal candidates/union positions only: Compensation is set by agreed to language in the Collective Bargaining Agreement between CCSNW & SEIU 1199NW and determined based on experience. Responsibilities MAJOR DUTIES AND RESPONSIBILITIES: Maintenance: Responsible for the up keep and maintenance of agency facilities and grounds which includes: * Office and building maintenance and repairs. * Security point person; providing passive security as needed and report concerns to supervisor and location leadership. * Grounds maintenance. * HVAC, Elevator and Security Alarms. * Other facility related requirements including back up janitorial as needed. Receive and investigate requests for maintenance at designated locations. Track maintenance work orders and complete applicable maintenance requests forms.Perform approved level maintenance repairs, refer to supervisor, or contract with outside vendor. Remedies may be in the form of plumbing, electrical, carpentry, lock repair/replacement, etc. Types of repairs include, but are not limited to the following: * Interior painting and touch up exterior painting. * Approved minor electrical repairs, such as replacing fixtures and switches. * Approved minor plumbing repairs, including replacing/repairing toilets and faucets, and auguring drains. * Re-key locks. Coordinate preventative maintenance programs for equipment and systems, as appropriate and needed.Respond in a timely fashion to facility emergencies; keeping supervisor and location leadership apprised of situation and possible remedies. Coordination of Contract Work: Obtain and submit estimated costs of labor and material for projects to immediate supervisor.Coordinator approved contract work to ensure project completion. Ensure facility procedures are implemented, to include ADA regulations, space planning and office renovation as directed. * Work closely with the Human Resources department and program leadership as needed in relation to any ADA or staff required office/space changes. Work closely with supervisor on recommendations, coordination and communication of policies and procedures related to facility operations: Implement, monitor and maintain policies and procedures.Provide timely and accurate feedback and information sharing to supervisor related to facilities operations. Errands: * To obtain those items necessary to accomplish facilities/grounds maintenance tasks. May include picking up or delivering other non-maintenance-related items. Security/Maintenance: * Act as point person if security/fire alarm is activated; may entail coming to ensure the facility is secured. This may involve after hours or weekends. Safety: Properly document, store, use, and dispose of hazardous materials in accordance with CCS Accident Prevention Program Manual.Understand and use protective equipment.Identify potential hazards.Implement equipment lock out/tag out procedures. Record Keeping: * Maintain maintenance file records such as Monthly, Quarterly, and Annual building inspection reports, up-to-date maintenance request forms, etc. Other work related duties as assigned. Qualifications MINIMUMS: * 3 Years work experience in facilities maintenance and/or repair. * Must have working knowledge of, and experience with facilities maintenance to include such things as: carpentry, carpet and vinyl installation and repair, basic electrical and plumbing, roofing, painting and preparation, and drywall installation and repair. * Current WA State Driver's License & proof of current automobile insurance. * Proof of acceptable driving history (driver's abstract). * Requires the ability to have effective working relationships with staff, as well as internal and community partners and professionals. * Knowledge of codes and fire regulations. * Ability to multi-task. * Ability to communicate clearly and effectively both verbally and in writing. * Strong organizational and record keeping skills. * Experience using Microsoft Office products or other electronic record keeping systems. * Willingness to learn and work within a team environment. * Ability to work independently and efficiently with minimal supervision. * Support and uphold the mission, belief and values of Catholic Community Services and Catholic Housing Services. * Demonstrate the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations. * Criminal History Background Checks are required prior to employment.
