Role Definition

The Office Coordinator is responsible for both general and clerical tasks around the office. This position involves general office organization and streamlining business operations throughout the organization. They will support answering phones, greeting visitors, managing schedules, monitoring and ordering inventory for office, and managing incoming and outgoing correspondence. This role profile is subject to change at any time.

PROTECT PEOPLE

  • Submitting work orders and scheduling repairs for general office space and equipment.

  • Maintain the general upkeep of the premises.

  • Carry out routine checks to ensure safety and security.

  • Contact relevant personnel for troubleshooting complex issues.

  • Assist with various company activities, training, giving back efforts, internal celebrations, etc.

BUILD RELATIONSHIPS

  • Effective communication skills including verbal, written and presentation skills.

  • Greet customers, employees, vendors personally and by answering telephone calls, directing calls, and taking messages in a personal, friendly manner.

  • Supports Office Manager, Safety & Quality Assurance Coordinator, and other team members with tasks as needed.

  • Encourages a teamwork atmosphere among all departments.

FOCUS ON END GOALS

  • Excellent customer awareness and recognition skills both internally and externally.

  • Handle confidential documentation and information while always maintaining a strict degree of confidentiality.

  • Plan, schedule, develop agendas and objectives for meetings and appointments using company calendar, Microsoft Teams, and other technology.

  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies.

  • Make travel arrangements, including airfare, hotel stays, and car rentals for employees and guests.

  • Handle incoming phone calls and emails in a professional manner.

  • Perform general duties to include, but not limited to; photocopying, mailing, and filing.

DRIVE INNOVATION

  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.

  • Work with teams and learn new jobs or processes to better self and company.

  • Forecast concerns within your role and create a plan to make adaptions or changes while communicating such needs.

EDUCATION AND QUALIFICATIONS

  • Two-year degree in related field.

  • Proven experience working in a professional office environment.

  • High proficiency in technology and Microsoft applications.

  • Organizational and time management skills.

  • Handle daily situations with respected confidence and composure.

  • Travel up to 10% or as needed, by air and ground.

PHYSICAL DEMANDS

  • Sedentary strength demands include exerting up to 10 pounds occasionally or negligible weights frequently; sitting most of the time.

  • Continuously requires vision, fine dexterity, hearing, and twisting.

  • Frequently requires standing, talking, sitting, and handling.

  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching.

  • Rarely requires climbing.
